The Krembil Centre for Neuroinformatics is a world-class program created to transform our understanding of mental health by organizing, integrating, analyzing, visualizing and modeling data across all levels of the brain —from genes to circuits to behaviour. This multimodal data is gathered across the clinical environment including genetic, epigenetic, MRI, DTI, fMRI, hd-EEG, actigraphy and electronic medical record data. Teams will employ state-of-the-art techniques including topological data analysis, machine learning and multiscale computational modeling to accelerate identification and treatment of mental health disorders. Research is performed in an open, team science environment, with an emphasis on reproducible data-driven research and a patient-centric approach. A focus on global collaboration is key to transforming our understanding of mental health and its treatment. The centre will operate as an incubator for medical technologies to identify, manage and treat mental illness, while shaping policy at national and global levels.
We are seeking an experienced and highly organized full-time, contract (12 months) Administrative Assistant to provide comprehensive support to our Directors and a team of Independent Scientists in a dynamic research and academic setting. This role is pivotal in ensuring the smooth operation of administrative functions while coordinating with various internal departments, including Finance, HR, Legal, Research Finance, Research Education, and the Research Services Office to align with CAMH administrative processes and requirements.
Key Responsibilities:
- Schedule Management: Coordinate and manage Scientists’ schedules by booking appointments and arranging meetings with internal and external stakeholders.
- Document Preparation: Prepare, review, and manage confidential documents related to organizational, employee, and program-related projects.
- Grant & Funding Support: Assist in the preparation, editing, and submission of grant/funding proposals, curriculum vitae, contracts, reports, and budgets.
- Financial Administration: Process and track invoices, expense claims, and reimbursements; assist with travel approvals; monitor budgets; and support annual financial reporting.
- Human Resources Support: Facilitate recruitment, onboarding/offboarding, staffing changes, and orientation processes for students, trainees, and staff.
- Event & Meeting Coordination: Plan and organize meetings and events, including venue booking, catering arrangements, and logistics.
- Administrative Coverage: Provide backup support for other administrative assistants as needed.
- General Office Management: Ensure compliance with internal policies and regulatory requirements while promoting an inclusive and collaborative workplace.
This position is based at 250 College Street.
Job Requirements
- Education: Post-Secondary Certificate or Diploma in Office Administration or a related discipline, combined with 3-5 years of secretarial/administrative experience, or an equivalent combination of education and experience
- Research & Grant Experience: Prior experience in an academic or research setting with knowledge of grants and funding submissions is an asset
- Financial Acumen: Strong financial skills, including budget tracking and expenditure monitoring.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and experience with virtual meeting platforms.
- Communication & Writing Skills: Excellent writing, proofreading, and document preparation abilities for both internal and external audiences.
- Organizational & Problem-Solving Skills: Ability to multitask, manage competing priorities, and meet tight deadlines with accuracy and attention to detail.
- Professionalism & Confidentiality: High degree of discretion, tact, and professionalism when handling sensitive information.
- Diversity & Inclusion: Experience working with individuals from diverse backgrounds; bilingualism (English/French) or proficiency in another language is an asset.
