About the Role
A Medical Proofreader (QA Specialist) at Operatic Agency plays a key role in ensuring editorial accuracy and consistency across pharmaceutical marketing materials.. Reporting to the Medical Director, the Medical Proofreader is responsible for reviewing multichannel deliverables including print, digital, and web, for grammar, spelling, formatting, and consistency across both branded and unbranded assets. In addition to editorial proofing, the QA Specialist will support quality assurance of website functionality to ensure deliverables meet internal standards prior to client release.
Maintaining QA processes and documentation that keep projects moving smoothly and error-free, the ideal candidate is highly organized, detail-driven, and passionate about upholding the integrity of healthcare communications in a fast-paced, collaborative agency environment.
This is a hybrid role one day a week (Wednesday) at our office located in Hamilton, ON with the exception of it being a remote role within Montreal, QC or surrounding areas – no applications outside of Quebec will be considered remote for this position.
What you’ll be doing
Content and Quality Ownership
- Collaborate closely with copywriters, designers, medical reviewers, and account teams to ensure clarity and accuracy in all communications
- Review all pharma-related content (print, digital, video, social, and presentations) for grammar, spelling, punctuation, formatting, and stylistic consistency
- Ensure accuracy and alignment with brand guidelines, and consistency across brands (unbranded and branded)
- Proactively flag inconsistencies and work with teams to resolve issues efficiently
- Serve as the final quality checkpoint on all deliverables before submission to clients, regulatory bodies (e.g., PAAB), or production
- Help elevate the quality of agency deliverables by championing editorial excellence, attention to detail, and compliance across every touchpoint
Technical Expert
- Strong command of grammar, syntax, and usage aligned with medical and editorial style guides (e.g., AMA, AP)
- Familiarity with Canadian and U.S. pharmaceutical advertising guidelines (e.g., PAAB, FDA, Health Canada) to ensure accurate formatting
- Comfort working within content management systems and markup tools (e.g., Adobe Acrobat and development sites)
- Stay current on pharmaceutical advertising best practices and quality assurance methodologies to support continuous improvement
Process Implementation & Improvement
- Maintain and evolve internal QA checklists, proofreading processes, and documentation standards
- Manage high volumes of content across multiple accounts with consistency, speed, and accuracy
- Support version control and audit trails by tracking revisions, feedback rounds, and final approvals
- Partner with accounts teams to align QA timelines with broader project milestones and delivery schedules
- Participate in internal QA reviews and retrospectives to identify areas for workflow efficiency and process refinement
- Ensure all outputs reflect Operatic’s commitment to quality, compliance, and creative excellence
What you’ll bring to the role
- 2+ years of proofreading or QA experience, preferably in a healthcare, pharma, or regulatory environment
- Bilingual (English/French) proofreading skills
- Deep understanding of medical terminology, drug naming conventions, and clinical referencing
- Familiarity with Canadian or U.S. pharmaceutical advertising regulations (e.g., PAAB, FDA)
- Exceptional attention to detail and ability to catch errors others may miss
- Strong command of grammar, punctuation, and editorial standards (e.g., AMA, AP, or client-specific style guides)
- Proficiency with Adobe Acrobat, Microsoft Office Suite, and project management systems
- Ability to work calmly and accurately under tight deadlines and across multiple projects
- A drive to develop range by learning new skills that expand your expertise
Nice to have
- Experience in an agency or fast-paced creative environment
- Background in medical writing, editing, or regulatory submissions
