About the role

Job Number**:** 52876

The Community Standards Branch is looking for an Assisted Snow Program (ASP) Clerk to provide a broad range of administrative support services to the ASP team.

The Assisted Snow Program is a high-profile pilot program and this position requires both teamwork and independent decision-making regarding the diverse and varied duties and assignments. The core functions include: staff/section administrative support, invoice management, and data/process management.

What will you do?

  • Manage the flow of incoming and outgoing correspondence, ensuring document and records and properly entered and recorded
  • Provide constant communication with program participants and citizens of Edmonton to coordinate their involvement in the program
  • Monitor and coordinate various administrative support services for the unit, including: coordination of telecommunications, directory updates, stationary/office supply orders and other related tasks
  • Create, update and maintain various documents, such as contact lists for vendors and program applicants, and general communication support
  • Process and authorize applications within program guidelines and procedures for internal and provincial support and funding
  • Provide clerical/computer support to stakeholders when appropriate in order to guide and manage stakeholders with issues, concerns, and inquiries for the program
  • Manage calendars, including monitoring calendars & schedules; prioritizing, shifting and scheduling meetings; coordinating appointments among various internal and external stakeholders; sending meeting reminders etc
  • Support the delivery of meetings, including booking rooms, preparing agendas, booking catering, managing attendance lists, taking minutes and following up on action items
  • Format and draft various documents, including memos, letters, reports, inquiries, emails etc.
  • Greet, assist, direct and announce staff and visitors to the work area
  • Work with 311 and website contacts to ensure effective and efficient communication to stakeholders, program participants, and contract vendors
  • Print, process and distribute program information and advertising documents
  • Other duties as required

Qualifications:

  • Completion of Grade 12 including business subjects related to data entry, or completion of an appropriate certificate program from an approved business school/college
  • A minimum 2 years of diversified office and word processing experience, including data entry and general office procedures

Assets:

  • Proficiency in relevant software and computer applications, including Google Workspace (Gmail, Calendar, Docs, Forms, Sheets, Slides, etc), Microsoft Office (Word, Excel, etc), and the ability to learn new computer skills; experience with POSSE, Taleo, Ariba and/or SAP

Skills required for success:

  • Ability to creatively problem solve and adapt quickly to change
  • Considerable knowledge of modern office practices, procedures and equipment
  • Ability to make decisions, format documents, take minutes and maintain records in accordance with established policies, procedures and formats
  • Ability to work independently and professionally within a team environment
  • Strong verbal and written communication skills, including excellent grammar, punctuation and spelling
  • Ability to perform assigned tasks with a high level of accuracy
  • Excellent time management and organizational skills, with the ability to efficiently and effectively manage competing priorities, manage a large volume of work, and work under tight timelines
  • Customer service focused with the ability to handle various inquiries, maintain effective working relationships within a multidisciplinary team, and effectively manage conflict
  • Strong interpersonal skills and the ability to establish and maintain effective working relationships with a focus on collaboration
  • Proven ability to effectively handle sensitive information using discretion

Conditions of Employment:

  • Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton and is a requirement of this position. There may be a cost associated with this requirement

Work Environment:

  • This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52.
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.

Up to 1 temporary full-time position for up to 11 months

Hours of Work: 33.75 hours per week

Salary Range: $25.172 - $31.257 (Hourly)

Salary ranges are in the process of being updated in accordance with the recently ratified collective agreement between the City and CSU 52 and will be forthcoming shortly.
