About the role
The Co-op Refinery Complex (CRC) is hiring an Office Administrator on a Permanent basis on our Maintenance & Reliability team.
This position requires on-site work and is based in Regina, Saskatchewan.
We’re looking for a tech-savvy administrative professional who’s passionate about streamlining processes and driving efficiencies. What you’ll do:
- Lead the development and implementation of automated systems and tools to streamline administrative functions, collaborating with IT and internal departments.
- Evaluate and improve existing administrative processes to minimize manual tasks and reduce errors.
- Provide essential administrative support including scheduling, communication, coordination of training programs, booking, and organizing department meetings.
- Coordinate training logistics for in-scope and supervisory staff.
- Support maintenance supervisors with training documentation and compliance tracking.
- Manage a portfolio of process improvement initiatives aligned with departmental and organizational goals.
- Act as the subject matter expert (SME) for maintenance administration in corporate initiatives.

The Team: You’ll report to the Maintenance Superintendent and work closely with Trades Supervisors, Trades Managers, and cross-functional teams across Maintenance and Reliability. The team values collaboration, innovation, efficiency, and continuous improvement.

Who you are:
You are looking for a career in Administration and:
- Have 3–6 years of administrative experience, ideally in a maintenance or oil & gas environment.
- Hold certification or advanced training in Change Management or Project Management.
- Are experienced in leading process improvement initiatives that reduce administrative overhead.
- Have strong working knowledge of Microsoft Office, including advanced Excel features; familiarity with Power BI, PowerApps, and CMMS platforms (JD Edwards, Viziya) is an asset.
