About the role

NVIT anticipates a need for one Admissions & Registration Officer / Receptionist at the Burnaby campus and invites applications from qualified candidates. This will be a full-time, ongoing support staff position that will start as soon as a suitable candidate is found.

Job Summary:

The Admissions & Registration Officer (ARO) / Receptionist is a member of the Enrolment Services Team. This position will be responsible for Admissions and Registration as well as reception services at our Burnaby campus. Reception services includes switchboard, as well as being the first to welcome students, staff, and guests to the Burnaby campus. This position will have responsibility for administrative tasks associated with the Burnaby reception area. The reception role will also provide technical support to learners including assisting with access to their mynvit.ca account, Self-Registration, and Application for Graduation. The successful applicant is expected to provide support to prospective and current learners with inquiries concerning the application process, general program information, and general information about NVIT. The admission and registration role processes prospective learner inquiries and applications, admits students, assists students with registration processes, maintains program applicant lists, and prepares registration and information packages to send to prospective and current students in programs offered. This position will assist with admissions, registrations, and retention of students, and will also collaborate with the Recruitment, Admissions, and Registration Officers (RAROs) within NVIT. Guided by principles of integrity, shared responsibility, consistency, and collaboration, the Enrolment Services Team supports learner aspirations through the delivery of quality and accessible Indigenous support services in a safe, fun, and holistic environment. Normal hours of work will be 8:30 am – 4:30 pm, Monday through Friday. Some evening and weekend work is required periodically, particularly in peak times.

Responsibilities:

  • Welcoming students and guests to NVIT
  • Switchboard
  • Data entry with a high level of accuracy
  • Process application and application packages, plus manage application and admissions spreadsheets
  • Build course sections in Colleague
  • Process letter and transcript requests
  • Handle all inquiries concerning application requests and procedures, student records and registration, general program information, and general inquiries about community programs and courses offered through NVIT
  • Create and maintain student record files
  • Report on application, admissions, and registration data to Associate Registrar.
  • Follow up with registered students to ensure they are meeting practicum, clinical, and preceptorship requirements
  • Register, add, drop, and withdraw students from courses
  • Provide technical support to students (assisting with access to mynvit.ca account, Self-Service, application for graduation, etc.)
    • other duties as assigned by the supervisor
