The Federal Bridge Corporation Limited (FBCL) is a Crown corporation responsible for overseeing the Canadian federal interests in four international bridge crossings between Canada and the United States. Its mandate is to provide the highest level of stewardship so that the international bridges and associated structures are safe and efficient for users. FBCL owns, manages and operates international bridges and associated structures in Sault Ste. Marie, Point Edward, Lansdowne (Thousand Islands) and Cornwall, Ontario.
Summary
The Accounts Payable, Accounting Coordinator reports to the Director, Financial Operations and is primarily responsible for managing invoices, ensuring impeccable accuracy of processing payments and maintaining effective communications with vendors and internal departments. ; Additionally, this position is responsible for account reconciliations, including the full bank reconciliation process, monthly government remittances and providing assistance with annual audit working papers and administrative duties related to finance and accounting.
Duties and Responsibilities
Accounts Payable 70%
- Receive and identify nature of invoice;
- Refer invoice to relevant department for approval of payment;
- Verify invoices are approved by authorized person as per Delegation of Authority policy;
- Verify invoices over vendor threshold for purchase order have authorized corresponding purchase order;
- Review vendor statements and follow up on outstanding invoices on a monthly basis;
- Maintain filing system;
- Follow up on unknown or suspicious requests for payments;
- Prepare and remit monthly tax (GST/HST) remittances
- Apply applicable HST tax treatment for all expenses;
- Input invoices on system and process payments;
- Liaise with vendors to resolve billing/payment discrepancies;
- Maintain sub ledger and balance to general ledger on a monthly basis;
- Ensure timely government filings;
- Monitor and act on AP emails; and,
- Reconcile and record purchasing card transactions.
Reconciliations 20%
- Ensure timely and accurate month-end close processes and bank reconciliations;
- Reconcile other general accounts that have been assigned;
- Prepare journal entries and maintain supporting documentation; and,
- Verify accuracy of information.
Miscellaneous Duties 10%
- Conduct general banking including depositing cheques;
- Process requests;
- Finalize documentation;
- Provide information to stakeholders;
- Handle enquiries;
- Follow-up on outstanding issues;
- Provide feedback;
- Provide assistance to other accounting function as required;
- Perform special finance related projects; and,
- Provide information to auditors, as requested.
Essential Qualifications
- Diploma in Financial Accounting, Business Administration or related field;
- Minimum of 2 years of practical experience in accounts payable and general bookkeeping;
- Experience with reconciliation and analysis of accounts;
- Financial Systems, Processes and Software;
- Processing and recording financial transactions;
- Intermediate Excel skills
- Verbal and written communication skills;
- Troubleshooting and problem solving;
- Time management;
- Diplomacy;
- Accuracy;
- Ability to obtain and maintain Reliability security clearance is required; and,
- Ability to demonstrate and maintain language requirement (English Essential) is required.
