Duties and Responsibilities:
The Departmental Administrator reports and provides support to the Chair through the coordination of the department’s activities on a day-to-day basis, according to the operational needs and strategic goals of the unit.
The Department of Psychology offers a variety of undergraduate, MA, and PhD programs including minors, concentrations, and streams to its students. To successfully run, these programs require the Departmental Administrator to organize the efforts of a high number of faculty and contract instructors. The incumbent is also responsible for the supervision of the unit’s administrative staff, providing direction on and oversight over administrative matters. They ensure compliance with University and unit policies, procedures, and regulations.
The Departmental Administrator holds a critical role within the academic unit, acting in an advisory capacity to the Chair in all aspects of University regulations, procedures, and departmental administrative matters, ensuring the sound financial administration of the department’s operating budgets, as well as fiscal funds. The incumbent provides guidance and administrative support to faculty and instructors relating to their teaching and research financial activities. They also provide extensive support to the Chair in compiling the departmental timetable and related budget submissions, and the recruitment and appointment of contract instructors.
Qualifications:
The incumbent must possess the following qualifications:
- The incumbent must be capable of relating to others working or studying in a post-secondary institution that focuses equally on education and research.
- They must have strong leadership skills, demonstrated experience in operational and financial management, and a clear understanding of administrative and office procedures.
- They must also have in-depth knowledge of the computer programs typically used in this role, such as Microsoft Office, Banner Student System, FAST Budget System for Operating and Research Accounting, and others that may be implemented at the University.
- The incumbent must be a highly energetic and dynamic individual.
- Strong administrative, problem-solving, interpersonal, and supervisory skills are essential, as are good judgment, initiative, resourcefulness, tact, and discretion.
- They must possess sound knowledge of the department’s, faculty’s, and university’s operating procedures and policies, including those outlined in the graduate and undergraduate calendars.
- They possess the ability to establish priorities, to work under pressure, and to identify and implement changes when needed.
- Their verbal and written communications skills are outstanding.
- The position involves dealing with a large number of students and faculty members who have diverse needs and backgrounds.
- Therefore, the incumbent must be mature, possess integrity, and be able to act with utmost confidentiality.
- When issues arise, the incumbent employs conflict resolution skills that display diplomacy, good judgment, and sensitivity.
Education and Experience:
The above is normally acquired through the completion of:
- Completion of a university degree.
- A minimum of seven years of directly related administrative and academic experience in a university setting, including a minimum of two years of supervisory experience.
