The Application and Housing Support Clerk must exercise tact and diplomacy when dealing with CHC customers and represent CHC in a positive manner.
As a member of the Central Housing Registry (CHR) team and working under the supervision of the Manager, CHR, or designate, the Application and Housing Support Clerk is responsible for a wide variety of clerical and administrative office duties related to all Housing Benefit and rent assistance programs, as well as for support in the Application for Housing process. Strong interpersonal and communication skills are required with the ability to work independently or within a team.
Responsibilities:
- Assist with Housing Benefit and other housing programs, including assisting with Housing Benefit inquiries (phone and email), applicant screening and application verification processes, determining eligibility on the wait list, and data tracking and analysis.
- Process applications for Subsidized Housing and Housing Benefit programs, and check eligibility per established criteria. Liaise with other clerks and housing benefit administrators to communicate eligibility and program take-up.
- Maintain a Housing Benefit wait list and work collaboratively with other housing benefit administrators to ensure the list is accurate and up to date.
- Provide general information to applicants for all programs (Subsidized Housing, Housing Benefit, Rent Supplement, and all other Housing Programs); assist with completion of forms.
- Liaise with applicants and support individual/agency, as applicable, to resolve minor inquiries.
- Prepare reports as requested, and complete filing as required.
- Initiate applicant follow-up, as required; correspond with applicants per program models and procedures, including correspondence to request additional information that may be required.
- Discuss with Supervisor applicants with critical needs and questionable eligibility.
- Assist with sorting and distributing incoming mail, and processing outgoing mail, as required.
- Other duties as assigned from time to time.
This position is shared by the Central Housing Registry (CHR) and Windsor Essex Community Housing Corporation (CHC) Operations team overseeing the Housing Benefit and Rent Supplement programs. The person hired will work at the CHR offices approximately 3 days/week and CHC offices approximately 2 days/week. Work location / assignment will be determined based on operational requirements.
Requirements:
- High school diploma or General Equivalency Diploma (GED).
- Knowledge of Microsoft Office products, including Excel, Word, Outlook.
- Knowledge of Yardi and Rent Café is an asset.
- Sound knowledge of general office procedures.
- Demonstrated ability to compose correspondence and determine suitable formats, including emails, memos, letters, etc.
- General mathematical skills.
- Ability to communicate professionally and effectively by telephone, in person and in writing with applicants, co-workers and outside agencies.
- Ability to work in a fast-paced environment, meeting deadlines while ensuring accuracy of work.
- Ability to interpret and apply Corporate Policies and Procedures.
- Ability to understand applicable legislation.
- Professional, responsive, and positive work attitude is essential.
- Strong customer service orientation.
- Knowledge of applicable data privacy laws.
- Possession of a valid Ontario Driver’s License class “G”, current valid insurance, and the use of a personal vehicle for work purposes will be required.
