Job Overview

Reporting to the Department Head and working directly with and in support of the Program Manager, the Program Coordinator will provide professional, expert and courteous front-line customer service to all VFS students, faculty and staff within the Film Production Program.

The Program Coordinator will be responsible for providing a full range of administrative functions and support to the Program Manager and Head of Department, as well as general administrative and customer services support to students and staff.

The incumbent will have office experience and be highly organized, energetic and a positive self-starter who thrives in an evolving and fast-paced environment.

Key Responsibilities

  • Greet visitors, staff, and students visiting the Film campus and provide courteous front-line support to Film Production students.

· Act as the liaison between students and staff

· Provide administrative assistance primarily to the Program Manager and Head of Department, and to other film staff when needed.

· Work with students to determine their program specialization eligibility.

· Manage and deploy data for Moodle course management.

· Responsible for the facilitation and processing of student grades in conjunction with Program Manager and Head of Department.

  • Maintain and order office supplies.

Responsible for the organization of graduation materials and co-producing graduation each term, working closely with the Post Production Coordinator.

· Organize and compile check requisitions, petty cash and invoices for the Accounting department.

· Support the Program Manager with approving payroll.

· Liaise and coordinate with other departments at VFS to support staff and students in the Film department including, but not limited to; facility requests, room bookings, IT support, and Marketing & Admissions requests.

· Maintain electronic and hard copies of student files.

· Assist Alumni with requests for post grad documentation.

· Create support documents to assist in facilitating the term productions.

· Support the Program Manager with scheduling duties.

· Schedule rooms for student meetings, casting, rehearsals, etc.

· Perform other duties as assigned by the Program Manager and/or Head of Department.

Qualifications & Experience

· Post-secondary training in Business/Office Administration and/or equivalent administrative experience.

· Intermediate to advanced knowledge of MS Office, MS Word, MS Excel, MS Outlook and Internet. Moodle experience is considered an asset.

· Experience using basic office equipment (fax, photocopier, postage machine, etc).

· Excellent written and oral communication skills.

· Strong interpersonal and customer service skills.

· Highly organized and efficient.

· Experience with payroll and/or scheduling is an asset.

· Excellent attention to detail and accuracy.

· Must work well independently and as part of a team.
