About the role:
Reporting to the Director of People & Operations, this role provides essential administrative support to both our fundraising and marketing teams, enabling them to focus on strategic priorities. The ideal candidate is a highly organized and detail-oriented professional who excels at managing schedules, organizing information, and streamlining processes, ensuring the smooth and efficient operation of our dynamic departments. Your strong administrative skills will directly contribute to our ability to connect with donors and promote our mission effectively.
What you will be doing:
Administrative Support
- Manage and maintain calendars, schedule meetings, and coordinate appointments for fundraising and marketing teams.
- Prepare, format, and distribute internal and external communications, including meeting agendas, memos, reports, presentations, and correspondence.
- Transcribe and distributes meeting minutes.
- Maintain organized filing systems for all department documents.
- Coordinate the ordering and management of supplies.
- Coordinate travel arrangements and logistics for team members as needed.
- Provide general administrative support to the leadership of the fundraising and marketing departments.
Fundraising Support
- Assist with donor communication processes, including drafting thank you letters, general correspondence, and managing donor records.
- Assist with data entry and database management, ensuring accuracy and integrity of information.
- Support the coordination of fundraising events, including logistical arrangements, volunteer coordination, and material preparation.
- Help prepare fundraising reports and presentations.
- Conduct basic research to support donor prospecting and engagement strategies.
- Assist with various projects as needed.
Marketing Support
- Assist with the coordination of marketing campaigns, including creating social media posts and distributing marketing materials.
- Create content for website updates, emails and other campaign communications as needed.
- Assist with maintaining marketing files and archives, ensuring accurate and up-to-date storage of promotional materials, media assets, and brand resources.
- Track deadlines, coordinate approvals, and help manage timelines for marketing projects and campaigns.
- Assist with logistics for photoshoots, promotional mailings, or print production, as needed.
- Support with development of assets and content for in house and third-party events.
Other
- Provide office reception desk support as needed.
- Assist in general agency functioning and performs other duties as requested or required.
What you bring:
Experience & Education
- Minimum of 2 years of experience in administration, non-profit operations, or similar fundraising or marketing administrative roles.
- At least 1 year of experience in a customer service role.
- Previous experience working in a not-for-profit organization would be ideal.
- Tech-savvy and proficient with general office software, such as Microsoft Office Suite.
- Experience using donor databases—Raiser’s Edge NXT experience is ideal.
- Working knowledge of Canva for creating digital and print materials.
- Familiarity with basic video editing tools for platforms such as LinkedIn, Facebook, and Instagram.
- An equivalent combination of education, training, and experience (including volunteer and international experience) will be considered.
Other Knowledge/Skills/Training
- Strong inter-personal and inter-cultural skills with an ability to relate to a wide variety of stakeholders from diverse lived experiences.
- Computer literate, data entry experience with databases such as Microsoft Dynamics.
- Ability to understand, communicate, and support the mission, vision, and values of the organization.
- Additional language(s) an asset.
- A valid driver’s license and access to a reliable vehicle is an asset.

This Position:
This is a full-time, 6-month contract (35 hours/week) based in our Vancouver office located on Joyce Street directly across from the Joyce SkyTrain station. The role requires working five days per week, with minimum four days in the office. Some daytime travel, as well as occasional evening and weekend work, may be required. Flex time or lieu time will be provided to accommodate any additional hours.
