Student Records Support
Salary: $47,976 to $58,548 per year
Location: High Prairie

Qualifications:
- College certificate in Office or Business Administration, one-year university or equivalent.
- One to two years of experience within an office or educational environment requiring similar duties.
- Applicants with an equivalent combination of education, training, and experience may also be considered.
- A combination of education, training and experience may be considered.
Nature and Scope of Work
The position provides data entry, validation and integrity in support of credit-based student record needs within the Student Records department. Student records needs include, but are not limited to, registration, completion and retention, as well as the processing of T2202A certificates. The accuracy of data is paramount for the reporting of information for internal and external compliance requirements. In addition, the incumbent must ensure that related policies, procedures, regulations and guidelines are adhered to and that service standards are met. Complimentary desk top procedures are also expected to be developed and maintained for the continuity of position requirements.
Duties and Responsibilities:
Data Input and Validation
- Respond to internal and external enquiries related to data processing and maintenance of student records.
- Validate data imports and exports related to student record needs.
- Utilize reports from Student Information System (database), create new reports, and identify problems and concerns with student record data management needs.
- Engage in on-going Student Information System (database) data audits to assist with the analysis and data integrity.
- Ensure data adheres to standards and identify and correct problems to ensure quality of data including securing data, which may be missing from a student record.
- Interpret and utilize the policies, procedures, regulations and guidelines required for input and validation of student record data.
- Assist with enrollment verifications and registration audits.
- Provide student enrollment and registration data entry and management related to the life cycle of the student record. This includes, but is not limited to registration, education/completion plans, student status changes, and completion.
- Provide registration data entry and validation for credit course enrollment.
- Ensure FOIP is adhered to.
- Work closely with Finance and program areas to ensure the timely workflow of student record registration and invoicing.
Student Record Retention
- All student records documents are vetted, removed and archived against records retention guidelines.
- Create and inspect new student files against required procedures and regulations.
- Utilize functionality within our Student Information System (database) and content management system to ensure student files are integrated within the system.
Continuity Support and Business Practices
- Utilize workflow standards to ensure effectiveness of processes.
- Provide ideas and suggestions to improve business processes.
- Create and maintain desktop procedures which support continuity of outcome needs and ensure service standards are met.
- Provide continuity support for the Student Records department.
- Initiate and validate student invoices for Finance accounts receivable deadlines.
- Contribute to a supportive, accurate and efficient student record data workflow between student records and other departments such as Finance, programs, student housing and other departments.
Cross function specialization support – one or more of these will be assigned to each Student Records Support personnel
- Answer general enquiries for T2202As and refer specific questions to the Finance department.
- File room control – ensure archived files are tracked and accounted for.
- Other related duties as assigned by the Associate Registrar
Knowledge, Skills and Abilities:
- Excellent versatility with software programs, primarily with Student Information System (database) and others required for position (Outlook, Excel, Word, internet, electronic file management, etc.).
- Familiarity with post-secondary system and NLC student profile and programs.
- High expectations for data integrity and attention to detail.
- Excellent oral and written communication.
- Able to work in a fast-paced environment.
- Ensures confidentiality.
- Dependability and reliability.
- Problem solving through flexible solutions.
