Position Summary
Methanex is looking for an organized, self-motivated individual to join the Legal Department over a 13- month contract. You will play a vital role on the team, providing confidential administrative support to the Legal Department in Vancouver, including the SVP General Counsel & Corporate Secretary. In this role, you will manage calendars, coordinate meetings, support the annual disclosure process of a publicly traded company, and handle travel arrangements, all while maintaining a high level of confidentiality and professionalism. Your ability to liaise with internal and external stakeholders, coupled with your advanced MS Office skills, will be key to your success.
Position Responsibilities
Executive Support to SVP, General Counsel & Corporate Secretary
- Mange the SVP’s calendar and schedule.
- Coordinate with stakeholders for meetings, events, and travel, ensuring all materials are prepared in advance.
- Prepare agendas, attend meetings, record minutes, and maintain action item logs.
- Management of annual department planning calendar with key dates and deliverables and ensure deadlines are met by SVP and direct reports.
- Arrange travel, including transportation, accommodation, and entry requirements, and prepare detailed travel itinerary and travel package with all relevant materials.
- Preparation of ELT & Board materials, presentations to the Board of Directors, ELT, various conferences, and general correspondence including email communications.
- Compile receipts, prepare and reconcile expense reports. Review SVP Direct Reports expenses, flag issues or concerns.
- Maintain monthly vacation, invoices, expense claims, and company credit card expenses.
- Maintain and submit annual membership dues and CPD credits for SVP.
General Administrative Support to Legal Team
- Prepare legal documents using company precedents, word processing, editing and black-line comparisons of legal agreements and PowerPoint presentations.
- Maintain the Compliance Training schedule.
- Special Projects (as required) including managing virtual data rooms and assisting with closing of transactions.
- Coordinate signing of agreements in accordance with Contract Administration Standard.
- Conduct Restricted Party searches using compliance software.
- Responsible for departmental information management including maintaining corporate controlled documents and policies, legal templates, global contract repository, and SharePoint database for all contracts and legal files.
- Maintain and update the Ethics Hotline.
- Responsible for updating material contract list bi-annually.
- Assist with annual update of Takeover Preparedness Binder.
- Provide general administrative support to the Legal team. This includes calendar management, typing, copying, preparation of presentation materials, monitoring incoming emails, calls, couriers, etc.
- Proactively deal with urgent matters that need to be attended to when lawyer(s) out of the office.
- Coordinate conference calls and department meetings (internal and external), including booking rooms and equipment, setting up catering, preparing agendas, taking and distributing meeting minutes.
- Organize department events as required including communication sessions, team building and one to one lunches as well as other internal & external events.
- Arrange travel, including transportation, accommodation, and entry requirements and prepare detailed travel itinerary and travel package with all relevant materials.
- Compile receipts, prepare and reconcile expense reports for each lawyer.
- Review and track costs for project-related work and submit external legal invoices for payment through Oracle.
- Maintain department’s SharePoint and Methanet libraries/pages.
- Maintain and submit annual membership dues and CPD credits for all lawyers.
- Provide back up support for Corporate Legal Assistant.
- Coordinate onboarding/offboarding forms, welcome new employees, and organize training schedules.
Regulatory Filings for Public Company
- Assist with preparation and filing of annual disclosure documents using Workiva, including being the primary coordinator of the Annual Information Form.
- Organize & assist with quarterly and annual disclosure meetings
- Compile information, complete and submit Schedule 1 – Share Ownership Return to Stats Canada.
General Administration
- As required provide overflow support to the other Assistants or Business Services and Front Office Administration during peak workloads and periods of absence.
- Act as a proactive team member of the administration team, attending all meetings and ensure excellent communication and co-ordination.
- Be a team player and must be pro-active and take initiative with respect to creating new systems or amending existing systems to improve overall efficiency of the Department.
- Provide corporate event support as needed.
- Other miscellaneous ad-hoc administrative duties.

Position Qualifications
- 5+ years’ experience in an administrative role.
- Previous legal administrative experience considered preferred.
- Previous administrative experience working at a publicly-listed company preferred.
- Advanced computer skills, including Microsoft Word, PowerPoint, and Excel. Experience using SharePoint and Workshare Delta View an asset.
- Excellent administrative skills (planning, organizing, coordinating, implementing).
- Electronic Content Management knowledge.
- Ability to effectively manage filing system.
- Ability to manage several competing priorities at once with close attention to detail.
- Ability to manage confidential issues with tact and diplomacy.
- Good judgment and decision-making ability, problem solving skills, and calm under pressure.
