Your Opportunity

Under the general direction of the Manager of Software & Enterprise Systems, the IT Agile Project Coordinator plays a key role in coordinating a variety of technology initiatives that support the College’s strategic and operational goals. This position works collaboratively across teams and departments to support the successful delivery of IT projects, including software upgrades, system integrations, modernization efforts, and business process improvements. The Coordinator facilitates agile planning activities, supports stakeholder engagement, helps define and track scope, schedule, risks and quality, and assists teams through iterative delivery cycles. They also develop project plans and status reports. Acting as a servant leader, the Coordinator focuses on removing blockers, reducing lead times, and enabling smooth collaboration between IT and the business. This role supports continuous learning, high-quality delivery, and timely stakeholder communication across all project lifecycle phases.

Functions and Duties

  1. Supports the coordination of project and product delivery activities across discovery, development, testing, and deployment phases using Agile, Kanban, and hybrid methodologies as appropriate.

  2. Helps define work items and priorities in collaboration with stakeholders, contributing to backlog grooming, sprint planning, and continuous delivery roadmaps.

  3. Coordinates schedules, tracks sprint progress, and monitors delivery milestones and blockers, using Agile project management tools and visual boards.

  4. Facilitates and documents agile ceremonies such as daily stand-ups, sprint reviews, retrospectives, and planning sessions.

  5. Collaborates with stakeholders to understand, document, and clarify evolving business and technical requirements.

  6. Contributes to developing and continuously refining communication plans, stakeholder updates, and team knowledge-sharing practices.

  7. Supports quality assurance practices, including user acceptance testing coordination, peer reviews, and post-deployment validation, while advocating for test automation tools where applicable.

  8. Assists in identifying and documenting risks, blockers, and change impacts; helps teams navigate scope changes and promotes timely resolution.

  9. Participates in team retrospectives and lessons-learned reviews, supporting continuous improvement in delivery practices and team dynamics.

  10. Fosters a collaborative, inclusive, and psychologically safe environment for team members and stakeholders.

  11. Engages in research and adoption of tools, trends, and practices in agile delivery, testing, DevOps, and modern product management (including AI) to support innovation.

  12. Advocate for efficiency and productivity around IT service, project and product delivery.

  13. Performs other coordination, facilitation, and support duties as assigned.

Education and Experience

  • Completion of Grade 12 and a Diploma or technical training of 2 years in a related discipline (or equivalent).

  • A degree in Computer Science or a related program is preferred.

  • Minimum four (4) years of relevant experience in project or product delivery, including agile team coordination, use of Agile or hybrid project management tools, and active involvement in the software development lifecycle.

  • Certifications such as PMP, PMI-ACP, or Certified ScrumMaster (CSM) are considered assets.

  • Previous experience with Ellucian Banner ERP in Higher Education is a key differentiator.

Skills and Abilities

  • Strong familiarity with Agile frameworks (e.g., Scrum, Kanban) and software development lifecycle (SDLC) practices.

  • Experience using project management and collaboration tools (e.g., MS Planner, Loop, TDX, GitLab, etc.).

  • Demonstrated ability to coordinate iterative delivery cycles and support cross-functional teams through change.

  • Excellent interpersonal, written, and verbal communication skills to engage diverse stakeholders.

  • Ability to document user stories, backlog items, workflows, and testing outcomes clearly and concisely.

  • Capable of surfacing and helping resolve blockers to keep teams focused and productive.

  • Proactive mindset with attention to detail and appetite for action and results.

  • Strong analytical and problem-solving skills with an emphasis on team and outcome over hierarchy.

  • Comfortable working in a dynamic environment with shifting priorities and ambiguity.

  • Demonstrated commitment to continuous learning and improvement.

  • High level of empathy, professionalism, and customer service orientation.
