Responsibilities
- Answering telephone calls and responding to email inquiries
- Conducting conflict check
- Scheduling potential clients for consultations with lawyers
- Greeting clients
- Preliminary drafting of correspondence and legal documents
- Managing and scheduling court dates and appointments
- Assisting lawyers and team in court-related matters, including but not limited to preparing application records, books of authority, and other court materials
- Assisting lawyers in corresponding with opposing parties and opposing counsel
- Contacting third-party professionals and appraisers for service-related information
- Organizing and maintaining electronic/physical files and keeping track of incoming/outgoing documents and communications
- Daily bookkeeping, such as processing client payments and posting disbursements to client accounts
- Creating and following office workflow procedures, including file opening and closing
- Monitoring and procuring office supplies
- Supporting lawyers and other team members with logistical matters and various administrative tasks, including menial tasks in and out of the office
- Organizing and attending to mailing and courier
- Coverage for receptionist's duties
Minimum Qualification
- Must be fluent in written and oral English
- Post-secondary diplomas/certificates/degrees or equivalent experience
- Two years of experience in a legal administrative assistant's position
- MS Office skills (high proficiency in Outlook, Word and Excel)
- PDF skills
- Must be authorized to work in Canada
Nice to Have But Not Required
- Fluency in Mandarin or another language
- Experience in family law or civil litigation
- Experience with ESILaw/Unity Accounting
Salary: Commensurate with experience
Expected start date: Immediately or 2025-Jul-14
