Opportunity

MacEwan University is seeking a highly organized and detail-oriented Administrative Support III for a 10-month full-time replacement term opportunity with the Student Life department. Reporting to the Manager, Student Success, you will serve as the primary administrative support for the Welcome Centre, Campus Tours, and Orientation and Transition Programs. In addition, you will provide general administrative assistance to the manager and contribute to various initiatives across the Student Life portfolio.

Key responsibilities include:

  • Communicating with and supporting new students who are transitioning to the University through summer onboarding programming;
  • Scheduling presenters, volunteers guides and campus tours;
  • Maintaining current web presence for orientation and transition programs;
  • Assisting and coordinating in-person and virtual events;
  • Keeping an accurate inventory of prizes and promotional materials;
  • Acting as the first point of contact at the Welcome Centre and for campus tours, through assessing and responding to concerns, issues, and inquiries from students, staff, and the public; and
  • Providing general administrative support to several Student Life areas, which includes keeping shared areas organized and stocked with resource materials, managing department calendars, and providing graphic design work for internal promotional items.

Please note that this position does not have a permanent workstation and would be required to shift between different workstations as needed.

SKILLS

You will have:

  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint;
  • Familiarity with general accounting principles and processes;
  • Strong organization skills;
  • The ability to work in a fast-paced, demanding work environment with evolving priorities and competing deadlines;
  • The ability to work independently, seeing all tasks and responsibilities through to completion;
  • Strong verbal and written communications skills;
  • The ability to synthesize information and present it concisely and effectively;
  • Strong customer service skills;
  • The ability to remain respectful, polite, and calm during difficult conversations;
  • A professional demeanor with strong interpersonal skills; and
  • Strong problem-solving skills.

QUALIFICATIONS

  • A minimum of a 2-year post-secondary diploma in office administration or a related field.
  • A minimum of 2 years of related experience.
  • Experience with reception, dealing with confidential information, records, and event coordination.
  • Experience with drafting letters and preparing forms, requisitions and meeting minutes.
  • Experience managing a high volume of booking requests, services or activities would be considered an asset.
  • Experience in a post-secondary institution or a fast-paced customer service environment would be considered an asset.
  • Public speaking and guided tour facilitation experience would be considered an asset.
  • An equivalent combination of education and experience may be considered.
