THE ROLE IN A NUTSHELL

The AI CoE is dedicated to leveraging AI, machine learning, and automation technologies to enhance business efficiency and improve customer experiences. We are looking for an IT Project Manager to oversee and manage automation initiatives, ensuring efficient project execution, alignment with business objectives, and smooth integration into enterprise systems.
In addition to traditional project management responsibilities, this role will also support the CoE by developing project documentation, reporting, and communication materials to ensure transparency, alignment, and stakeholder engagement. The IT Project Manager will work closely with the Intelligent Process Automation Delivery Manager, business stakeholders, and technical teams to define project roadmaps, manage project pipelines, and drive the successful delivery of AI-powered automation solutions.

Responsibilities

Project & Pipeline Management

  • Manage the project pipeline for intelligent automation initiatives, ensuring proper prioritization, resource allocation, and execution.
  • Collaborate with the Intelligent Process Automation team, IT, and business stakeholders to define project scope, timelines, and deliverables.
  • Oversee end-to-end project management, from requirements gathering and development to testing, deployment, and post-implementation support.
  • Ensure that automation projects align with overall IT and business strategies, delivering measurable efficiency gains and process improvements.
  • Develop and maintain project plans, risk assessments, and progress reports, proactively identifying and mitigating potential roadblocks.
  • Facilitate Agile/Scrum ceremonies (stand-ups, sprint planning, retrospectives) to keep automation teams on track and projects moving forward.
  • Act as a liaison between technical teams and business stakeholders, ensuring clear communication and expectation management.
  • Monitor key project performance indicators (KPIs), ensuring timely and high-quality delivery of automation solutions.
  • Support change management efforts, ensuring smooth adoption of automation solutions and providing guidance on process adjustments.

CoE Communication & Reporting

  • Develop and maintain project documentation, dashboards, and reports to track progress, performance, and impact of automation initiatives.

  • Create executive summaries, presentations, and briefing materials to communicate CoE priorities, successes, and upcoming initiatives.

  • Design and distribute newsletters, intranet updates, and other internal communication materials to inform stakeholders about automation advancements and outcomes.

  • Work with business leaders to ensure consistent messaging and alignment across departments regarding automation initiatives and digital transformation.

  • Assist in developing training and awareness materials to help teams understand the benefits of intelligent automation and how to leverage new solutions.

  • Organize and facilitate CoE meetings, workshops, and stakeholder engagement sessions to drive collaboration and transparency.

WHO WE'RE LOOKING FOR

  • Bachelor’s degree in IT, Computer Science, Business, Communications, or a related field.
  • 5+ years of experience managing IT projects, preferably with exposure to automation, AI, or digital transformation.
  • Proven ability to manage multiple projects in parallel, ensuring deadlines, scope, and quality are met.
  • Strong understanding of project management methodologies (Agile, Scrum, Waterfall, SAFe) and ability to adapt based on project needs.
  • Experience working with automation tools (RPA, AI-driven workflows, process mining) and cloud platforms (Azure, AWS, GCP) is a plus.
  • Strong analytical and problem-solving skills, with the ability to assess business needs and translate them into project roadmaps.
  • Excellent stakeholder management and communication skills, ensuring alignment across business and IT teams.
  • Hands-on experience with project management tools (JIRA, Azure DevOps, Asana, Trello, or similar).
  • Ability to develop professional-grade reports, dashboards, and presentations to support CoE communication efforts.
  • Strong writing and content development skills to craft clear, engaging, and insightful project updates and communication materials.
  • Ability to work in a fast-paced, evolving environment, balancing multiple priorities effectively.

NICE TO HAVEs

  • Project Management certification (PMP, Agile, SAFe, PRINCE2).
  • Experience with corporate communications, internal branding, or stakeholder engagement.
  • Background in graphic design, PowerPoint, or visualization tools (Tableau, Power BI, Canva, etc.) to enhance communication materials.
  • Knowledge of process automation, AI/ML, and digital transformation strategies.
  • Bilingualism (French/English).
