About the role
Winpak is seeking a Payroll and Benefits Specialist to join their team in a hybrid capacity based in Winnipeg, MB.
Reporting to the Payroll and Benefits Team Leader, the Payroll and Benefits Specialist plays a key role in processing weekly and bi-weekly payrolls for both our Canadian and US business units. In this role, you will deliver exceptional customer service to internal and external stakeholders while ensuring the accurate and timely completion of all payroll and benefits reporting. Your attention to detail and commitment to excellence will contribute directly to the smooth operation of our payroll processes and overall employee satisfaction.
Key Responsibilities Payroll Processing
- Process weekly and bi-weekly payrolls for Winpak business units in Canada and the US, including hourly (unionized, non-unionized, part-time) and salaried (full-time, contract) employees using outsourced payroll providers.
- Process quarterly Board of Directors payments based on provided fee amounts.
- Review timecards from timekeeping software.
- Provide accounting with GL entries and payroll account reconciliations.
- Process deductions and create check requisitions for remittances on scheduled timelines.
Benefits Administration
- Pension/401K: Ensure enrollment and communicate follow-up requirements to HR.
- Benefits: Approve Open Enrollment and Life Events; submit Canadian benefit info to Sun Life and work with HR on follow-up.
Reporting & Invoicing
- Provide scheduled and ad hoc reports as needed.
- Maintain hourly vacation entitlements and report remaining time.
Reconciliations and Audits
- Reconcile statutory deductions and US tax filings.
- Prepare and reconcile YTD earnings and deductions for year-end reporting (T4, W2, etc.).
- Reconcile year-end accruals for accounting purposes.
- Perform payroll audits as required (internal, government, etc.).
Data Integrity
- Ensure accurate record-keeping in the employee database for pay rates, positions, classifications, and merit review dates.
Required Qualifications
- Post secondary education in accounting/payroll or equivalent
- 3+ years of experience processing payroll
- 3+ years of experience with computerized payroll program (s) and time keeping software
- 3+ years of experience using Microsoft office suite (Excel, Outlook, Teams, Word, etc.)
- 3+ years of experience in a role that required you to engage effectively with all levels of an organization, fostering strong communication and collaboration
Preferred Qualifications
- 1+ years of experience processing payroll in the US
- 1+ years of experience in maintaining accuracy with figures; demonstrating exceptional attention to detail and organizational skills to ensure precision in all tasks.
- 1+ years of experience in a role that required tight deadlines where efficiency, and accurate results were critical
- Solid understanding of government regulations, ensuring compliance and adherence to relevant legal and regulatory standards in all areas of responsibility.
