About the role

OVERVIEW

Reporting to the Senior Manager, HR and Compensation, the Junior Administrator, Benefits & Payroll plays a critical role in delivering comprehensive benefits administration while ensuring accurate and timely payroll support.

This role focuses heavily on the day-to-day management of group benefits and retirement plans, vendor coordination, and employee support, helping to provide positive employee experience. The ideal candidate will have a strong foundation in benefits administration and a solid understanding of payroll processes to ensure seamless integration and compliance across programs.

RESPONSIBILITIES

Benefits Administration

  • Serve as the main point of contact for employees regarding benefits programs, including group health and dental, retirement savings plans (RSP), wellness programs, and other employee offerings.
  • Manage benefits enrollments, changes, and terminations, ensuring timely and accurate updates in both HRIS and carrier systems.
  • Liaise directly with benefits providers and vendors to resolve complex claims, support renewals, and manage service agreements.
  • Assist with annual benefits renewals, open enrollment planning, and communication to employees.
  • Monitor and audit benefits data for accuracy, compliance, and alignment with plan provisions and legislative requirements.
  • Prepare and reconcile monthly benefits invoices and ensure proper accounting and payment processes.
  • Support the development and delivery of benefits education sessions and materials to enhance employee understanding and engagement.
  • Maintain up-to-date knowledge of benefits trends and legislation to provide informed recommendations and ensure compliance.
  • Collaborate with finance and HR leadership to analyze benefits utilization and identify opportunities for improvement.

Payroll Administration

  • Support accurate processing of semi-monthly payroll cycle, including new hires, salary adjustments, and terminations.
  • Maintain payroll records and ensure proper integration between payroll and benefits data.
  • Support audits and compliance checks to ensure payroll practices align with internal policies and provincial/federal legislation.

Data Management & Compliance

  • Maintain accurate and confidential employee records within HRIS (e.g., BambooHR) and payroll systems (e.g., ADP).
  • Asist with regular audits of employee data, benefits enrollment, and payroll entries to ensure compliance and data integrity.
  • Contribute to the development and maintenance of standard operating procedures (SOPs) for benefits and payroll administration.

HR Administrative Support

  • Maintain accurate employee records in the HRIS and assist with personnel file management.

  • Participate in basic HR audits and compliance checks under the direction of the Senior Manager, HR and Compensation.

  • Assist with document management, policy updates, and internal communications.

  • Support special projects as assigned (e.g., process improvements, internal communications etc).

QUALIFICATIONS

Education

  • Pursuing or holding a Certified Employee Benefit Specialist (CEBS) designation.

  • Pursuing or holding the Payroll Compliance Professional (PCP) designation or similar work experience.

Knowledge/Competencies/Skills

  • Strong expertise in benefits administration, including vendor management and program communication.

  • Solid understanding of payroll processing and systems integration.

  • Familiarity with Canadian federal and provincial employment standards and payroll legislation.

  • Strong attention to detail and high accuracy in numerical and documentation work.

  • Excellent organizational and time management skills.

  • Strong technology skills in Microsoft 365 tools (Excel, Outlook, Teams, SharePoint), familiarity with payroll systems (e.g., ADP Workforce Now) and HRIS platforms (e.g., BambooHR) is beneficial.

  • Ability to handle sensitive information with discretion and professionalism.

  • Effective written and verbal communication skills.

  • A collaborative and proactive approach to learning in a fast-paced HR environment.

WORKING CONDITIONS

  • All CM employees work 40 hours per week, remotely from a home office environment.
