Opportunity
MacEwan University is seeking Exam Invigilators for causal opportunities with our Exam Services department. Reporting to the Exam Coordinator, your primary role is to ensure that exam accommodations are implemented accurately and effectively, exams are conducted fairly and securely. You will ensure that all accommodation and examination procedures are followed according to established protocols, practices, and procedures and that the integrity of the examination process is maintained at all times. You will work together to provide invigilation for exams for a diverse range of students with varying needs for accommodation and deferred exams.
Key responsibilities include:
- Assisting in the setting up of examinations by arranging seating, distributing examination materials, and ensuring that all necessary equipment is in place including setting up adaptive and computer equipment for exams as required;
- Preparing and monitoring exams for students with accommodations in private spaces or group settings, according to the specific requirements outlined for each individual;
- Assisting in the collection and organization of examination materials post-examination, ensuring that all materials are accounted for and returned appropriately;
- Monitoring the conduct of examinations, ensuring that all examinees adhere to MacEwan’s rules and regulations governing the examination process;
- Watching for any signs of suspicious behaviour or cheating, such as attempting to communicate with other students, accessing unauthorized materials, or engaging in prohibited activities;
- Documenting incidents like suspicious behaviour, academic misconduct and works with the Exam Coordinator to ensure compliance with established policies, procedures, and protocols relating to such incidents;
- Interacting and providing assistance to students by clarifying instructions, addressing any concerns or questions they may have regarding the examination procedures or escalating them to the Exam Coordinator;
- Following established University and Exam Centre policies, processes, and procedures while upholding the integrity of the examination process by actively preventing and addressing any attempts at academic dishonesty, such as plagiarism, collusion, or unauthorized use of electronic devices;
- Welcoming students and providing them with clear instructions regarding examination procedures;
- Escorting students to assigned exam seating locations within appropriate timelines;
- Providing assistance to students with accommodations and ensuring they can complete the examination under equitable conditions; and
- Coordinating the timing of examinations, including the distribution and collection of examination papers according to the specifications outlined.
- Provide Scribe or Reader support to students that require this as an exam accommodation

- Empathy and intercultural competence in working with stakeholders of diverse backgrounds and abilities;
- The ability to perform tasks with a trauma-informed and student-centered approach;

- Excellent verbal and written communication skills;
- Strong attention to detail and the ability to maintain focus for extended periods of time;
- Sound independent judgment and discretion, demonstrates objectivity, open-mindedness, inclusiveness, and avoidance of bias or the perception;
- The ability to handle stressful situations calmly and professionally;
- The ability to uphold confidentiality and integrity in handling sensitive examination materials;
- Punctuality and reliability;
- The ability to follow instructions and to work independently and within a team environment; and
- The commitment to fostering a positive environment that celebrates diversity and inclusion.
QUALIFICATIONS
- A minimum of a high school diploma.
- A minimum of 1 year of experience working in a professional setting.
- Completion of Mental Health First Aid and professional development in trauma-informed approaches and practice would be considered a strong asset.
- Experience working with persons with disabilities, in education, or a service-oriented environment would be considered an asset.
- Experience in exam invigilation or a similar role is strongly preferred.
- Familiarity with adaptive technology including text-to-speech, speech-to-text, and digital magnification, as well as exam procedures and regulations is strongly preferred.
- An equivalent combination of education and experience may be considered.
POSITION REQUIREMENTS
- Flexibility to work variable hours, including evenings and weekends throughout the semester, including during peak times of midterms and finals each academic term.
- Invigilators are typically expected to have the ability to take shifts between 8:00am and 6:00pm Sunday to Saturday, with flexibility to commit to an average of 5-20 hours of work per week.
- During the Fall and Winter final exam periods, invigilators are expected to increase their availability as the Exam Centre runs exams from 8:00am to 10:00pm. This can be expected for approximately 10 days in December and approximately 10 days in April each year.
- This requirement may evolve over time according to the needs of the Exam Centre, and the Manager will provide directions, updates, notice, and information accordingly for any changes to ensure exam operations are maintained.
