About the role

RothLochston is currently seeking a Temporary Project Administrator to join our team in Paradise, NL. This presents a great opportunity to contribute to a dynamic and diverse operations team, supporting key functions including site mobilization, document control, and health & safety coordination.

As a Project Administrator, you will be responsible for the following:

  • Collaborate with project managers, site supervisors, and HR to assess labor requirements and scheduling needs.
  • Coordinate with applicable unions to request personnel, ensuring recruitment requisition forms and referrals are accurate and compliant.
  • Manage mobilization requirements for assigned personnel, including new hire documentation, certifications, training, pre-employment testing, and travel arrangements.
  • Track and monitor mobilization status using spreadsheets, schedules, or workforce management software.
  • Maintain and update a centralized database of project personnel.
  • Regularly update workforce rosters and provide mobilization progress reports to project leadership.
  • Ensure all documentation complies with internal standards and regulatory requirements.
  • Respond to last-minute changes, delays, or personnel issues during the mobilization process.
  • Serve as a key point of contact for internal teams, clients, and external stakeholders.
  • Maintain and update the project training matrix as needed.

Qualifications and Skills Required:

  • 1–3 years of experience in an administrative or coordination role.
  • Diploma in Office Administration or a related field is required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) is essential.
  • Previous experience or interest in the industrial construction sector is considered a strong asset.
  • Excellent communication and interpersonal skills; able to build positive relationships with colleagues, vendors, and stakeholders.
  • A self-starter with strong initiative, problem-solving abilities, and a proactive mindset.
  • Able to adapt to changing priorities and manage multiple tasks in a fast-paced, dynamic environment.
  • Strong attention to detail and a commitment to accuracy and efficiency.
