What you’ll do (the highlights)

As a part of the Centralized Services team, the Program Assistant is responsible for reviewing and approving timesheets for payroll. This role provides day-to-day support to Program Managers and fulfills all administrative tasks associated with the Program Managers’ work including, but not limited to, incident reports, meeting administration, booking meeting space, submission of monthly reports etc. The position of Program Assistant functions in a manner consistent with and supports the mission, vision, and values of DASCH.

What that looks like:

  • Working Full-Time Monday-Friday days in an office-based position
    • Must be able to flex hours based on position needs
  • Receiving support and guidance from the Director of Centralized Services
  • Review and approve time entry for direct support staff.
  • Complete audits and reports as requested by the Director of Centralized Services.
  • Communicate with necessary parties to confirm, correct, and report unusual time clock activity.
  • Monitor location payroll budgets and complete location specific reports for each pay period.
  • Receive, investigate, confirm, and submit payroll discrepancies to payroll.
  • Upload Incident Reports for digital filing.
  • Send reminder emails, review, and submit to Accounts Payable month end submissions for designated locations. Communicate with the Program Manager any errors with this to resolve.
  • Approve in HRIS and generate status change letters for staffing changes.
  • Be present and provide support such as reminder emails for meetings with DASCH client psychiatrist.
  • Provide front desk support as needed on a rotational basis.
  • Compose, update, and upload LMS training materials and courses for the Centralized Services team.
  • Receive, track and file Day Program client financials.

Your Qualifications:

  • Minimum of two years’ administrative experience.
  • Proficiency in Microsoft Office suite is required, with a strong working knowledge of Excel.
  • An understanding of scheduling and time entry review is preferred.
  • Experience in the use of Human Resource Information Systems (HRIS), Customer Relationship Management (CRM), and Learning Management System (LMS) is preferred.
  • Ability to work outside of normal business hours based on payroll schedule requirements and other organizational needs.
