Opportunity

MacEwan University is seeking a Team Lead, Academic Advising for a one year, limited term opportunity with our Faculty of Arts and Science.

Reporting to the Associate Dean, you will lead and supervise the academic advising team while supporting the day-to-day operations of the Faculty Advising Office. Your responsibilities will include ensuring consistent coverage of all advising functions, managing student communications, and maintaining the Academic Planning Progress Report (APPR) to align with current programs of study. You will also identify and implement solutions for areas of improvement, handle escalated issues, organize procedural documentation, and contribute to delivering an exceptional student experience.

KEY RESPONSIBILITIES INCLUDE:

Team Supervision

  • Overseeing a team of Academic Advisors and Student Information Representatives; assigning workloads, monitoring performance, ensuring deadlines and quality standards are met, and providing backup coverage as needed;
  • Serving as primary contact for team issues; resolving problems, removing barriers to success, and escalating matters affecting employment conditions to the Associate Dean.
  • Coordinating communication between staff and management; leading onboarding, training, and conflict resolution in collaboration with the Associate Dean.
  • Conducting regular Workforce Engagement (WE) conversations; supporting staff development, monitoring goals, and ensuring alignment with institutional priorities.
  • Supporting recruitment processes including resource development, applicant screening, interview participation, and hiring recommendations.
  • Ensuring compliance with MSA collective agreement and HR policies; keeping staff informed of available institutional support.

Operational Support

  • Works with Manager, Academic Advising to support the institutional academic advising model and foster a community of practice within academic advising.
  • Collaborating with the Registrar and Dean’s Office to verify program requirements, analyzing advising-related data, and implementing retention and enrollment strategies.
  • Supporting the Dean’s Office with program development, course scheduling, and student communications (e.g., welcome packages, admission reports).
  • Coordinating support for recruitment and outreach events such as Welcome Night and Open House.
  • Confirms accuracy of the Academic Program Progress Report requirements in conjunction with the Office of the University Registrar based on approved programs of study.

Advising Students

  • Maintains an advising portfolio, providing holistic academic advising to students, including course planning, program navigation, and career guidance tailored to individual student needs.
  • Maintaining up-to-date knowledge of university policies, procedures, and program requirements.
  • Monitoring student academic progress, providing timely interventions, and fostering long-term academic skills to support retention and success.
  • Promoting student ownership of academic progress while offering referrals to campus services for academic, career, and personal support.
  • Participating in professional development and sharing best practices with advising colleagues.

SKILLS

You will have:

  • The Ability to work effectively in a team environment, problem-solve creatively, organize and prioritize tasks, and work independently;
  • Excellent oral and written communication skills, with strong conflict resolution abilities, empathy, and a non-judgmental approach;
  • Proficiency in Microsoft Office Suite, email platforms, and Google Docs required;
  • Demonstrated ability to interpret, apply, and explain policies and procedures accurately; and
  • Experience with PeopleSoft or other Student Information Systems preferred.

QUALIFICATIONS

  • A minimum of undergraduate degree, preferably in a BA or BSc discipline.
  • A minimum of five years experience working in a post-secondary environment in a student-facing role.
  • Working knowledge of MacEwan's B.A. and/or B.Sc. programs would be an asset.
  • An equivalent combination of education and experience may be considered.
