Position Summary

Unit Secretary - Cancer Care, Prostate Clinic
Performs administrative, secretarial, clerical and receptionist duties for the Clinic. All roles are essential in providing a safe and healthy environment for patients, staff, physicians, volunteers and others by ensuring that health and safety policies are followed.

On a practical level, you will

  • Supports and adheres to Hospital policies and procedures.
  • Communicates with staff, patients, families, internal and external parties.
  • Accepts, coordinates and triages telephone calls and inquiries and processes them in an appropriate and timely manner.
  • Assumes responsibility for identification and advancement of issues and concerns with the CTM or Coordinator in a time sensitive manner.
  • Compiles and disseminates material/documents related to clinic activity.
  • Manages confidential information in a sensitive and professional manner.
  • Processes online orders, notifies appropriate staff, and specific departments as required.
  • Supports clinicians with system order entry functions.
  • Processes requisitions as required (bloodwork, CT, etc.), maintains documentation and follows up on outstanding information (e.g., test results, follow up appointments).
  • Maintains organization of prostate clinic appointments and bookings.
  • Prepares statistics, reports and discharge instructions, photocopying, prioritizing and processing of information as required.
  • Manages unit supplies, services and repair needs.

Qualifications

  • Grade XII diploma.
  • A medical office assistant certificate or minimum one year comparable office experience with medical orientation.
  • Experience dealing with the public in a fast-paced environment.
  • Effective written and verbal communication.
  • Accurate minimum typing speed of 45 w.p.m.
  • Proficiency in required computer programs, including Microsoft Office.
  • Excellent organizational and problem solving skills.
  • Ability to function in a busy environment and prioritize under stress.
  • Ability to maintain confidentiality.
  • Maturity in dealing with all contacts; ability to maintain professional boundaries with patients.
  • Experience working in an ambulatory clinic setting preferred
  • Experience working with the cancer care population preferred
  • Bilingualism in French/English an asset.

What We Offer

Working at NYGH means working with a dynamic team of fellow healthcare providers, staff, and volunteers in one of Canada’s leading hospitals. This is a Full Time Temporary position, with 8 hours shifts, days and evening shifts, including weekends in the Cancer Care, Prostate Clinic. This role will primarily be based out of the Prostate Centre but supports all areas within the Cancer Care program and may float as needed. We offer a highly competitive total compensation package which includes pay in lieu of benefits, vacation pay and the opportunity to join the Hospital Pension Plan.
