We are looking for a proactive, organized and detail-oriented Bookkeeper/Office Administrator support our finance and administrative operations. This role is ideal for someone who thrives in a dynamic environment, enjoys wearing multiple hats, and is passionate about keeping things running smoothly—both financially and organizationally.
Key Responsibilities:
Administrative & Office Support: • Serve as the first point of contact for internal administrative needs. • Maintain organized digital and physical filing systems. • Coordinate office supplies, vendor communications, and general office upkeep. • Support onboarding of new employees, including documentation and system setup. • Assist with benefits administration and ensure HR documentation is up to date.
Bookkeeping & Financial Support: • Manage accounts payable and receivable, ensuring timely and accurate entries. • Prepare and send client invoices; follow up on outstanding payments. • Perform bank reconciliations and maintain accurate general ledger records. • Maintain prepayment schedules and allocate expenses appropriately. • Assist with month-end close tasks, including journal entries and reconciliations. • Process employee expense reimbursements and support payroll processing. • Submit sales tax and payroll tax filings in compliance with regulations.
Key Attributes and Skills: • Highly Organized: Able to manage multiple priorities and meet deadlines. • Detail-Oriented: Accuracy in financial and administrative tasks is essential. • Professional & Discreet: Handles sensitive information with confidentiality. • Strong Communicator: Clear and effective in both written and verbal communication. • Tech-Savvy: Proficient in QuickBooks, Excel (including Pivot Tables), and payroll systems. • Team Player: Works collaboratively across departments and supports a positive office culture. • Problem Solver: Takes initiative to identify and resolve issues efficiently.
Qualifications: • Diploma or degree in Business Administration, Accounting, or a related field. • Minimum 2 years of experience in office administration with bookkeeping responsibilities. • Familiarity with accounting principles, payroll processing, and HR support. • Experience with QuickBooks and Microsoft Office Suite. • Knowledge of employment standards and tax compliance.

Pay: $65,000.00-$70,000.00 per year
