Job Posting Title: Administrative Assistant
Status: Full-time Contract-Seasonal: September 15 – December 15
Location: 500 Lakeshore Boulevard West. This is an onsite position based out of the Loblaw’s Toronto Lakeshore office.
Reporting to the Senior Manager, Workplace Wellness, the Administrative Assistant will provide administrative support to the Workplace Wellness team during the flu vaccination season. You are passionate about your work and perform with a high level of reliability and pride. Your work is thorough, organized and detail oriented. You have strong computer skills and the ability to learn new software applications quickly. You have excellent verbal and written communication skills, and your work experience demonstrates success in providing service and strong administrative skills.
Key Responsibilities:
- Providing administrative support for the Workplace Wellness team
- Caring for flu immunization vaccines (all training will be provided)
- Regular communication with our nurse roster as it pertains to pick up and drop off private and public vaccine
- Monitoring the flu fridge to ensure cold chain requirements are maintained
- Transferring vaccine from the flu fridge to the nurses for clinic execution
- Inputting clinic shifts and other relevant information using our CRM, Dynamics 365
- Data Entry and filing
- Processing incoming and outgoing mail, packages and medical supplies
- Assisting with Operations including packing supplies and medical equipment
Qualifications:
- Experience in Customer Service
- Proficiency in Microsoft Office (especially Excel and Word); experience with CRM systems such as Dynamics 365 is an asset
- Strong attention to detail
- Interest or experience in the health and wellness industry
- Strong organizational skills and the ability to manage multiple deadlines and shifting priorities
- Excellent interpersonal, written, and verbal communication skills
- Proven ability to handle confidential information with discretion
- Strong problem-solving mindset and the ability to adapt quickly to challenges
- Flexibility to work extended hours during peak periods or events as needed
