Title: Payroll Administrator

PURPOSE OF ROLE

This role reports to the  ManagerPayroll Services (“MPS”) and provides direct administrative support to the MPS with respect to all payroll service matters related to Canada Lands Company (“CLC” or “Company”) and the CN Tower (“CNT”) and Old Port Montreal “OPMC” is the key liaison between the payroll service provider (“ADP”) and CLC and CNT and OPMC.

KEY FUNCTIONS

Payroll

Primary Responsibilities:

  • Work in collaboration with the Payroll Services team to administer bi-weekly payroll for approximately 600 union and non-union employees at the CNT and CLC on time.
  • Administer bi-weekly payroll for 95 interprovincial employees at CLC on time.
  • Processing all CNT and CLC payroll transactions including inputs, deductions, remittances and reports on time.
  • Keeping monthly statistical reports updated and overseeing the WSIB recordkeeping system.
  • Work in collaboration with the Pay Master at OPMC and be available as the back up to ensure full payroll cycle is completed.

Payroll Processing

  • “New/terminated/changes employees” data as approved by departments.
  • Audit and ensure all payroll time sheets are accurately recorded and investigate and make changes as required.
  • Input time sheet information including non-statutory deductions and gratuities for all applicable employees.
  • Verify payroll input audit trail to time sheets and run/submit/receive payroll transaction to/from ADP.
  • Prepare biweekly reports, request wire transfers or cheques for disbursement of non-statutory deduction remittances such as court ordered deductions, union dues, charity deductions, BC Medical, benefit provider premiums.
  • Manage and update monthly tracking systems; including balancing of Canada Revenue Agency accounts and vacation lists.
  • Organize the payroll filing system, including the Content Manager System and any paper filing, as required
  • Process and track monthly WSIB payments for CNT.
  • Emailing ROEs to employees andr esponding to requests from Service Canada.
  • Facilitate / assign schedules and audit timecards for part time staff at Downsview Park.
  • Provide support to Old Port Montreal Corporation Inc. (“OPMC”) Pay Master including back up relief for scheduled vacation or unforeseen absence.
  • Including but not limited to – processing payroll for 300+ Union and Non-Union employees.
  • Provide biweekly audit of payroll input every pay period before payroll has been processed.
  • Assist with all imports to payroll data when required for annual increases and incentives.
  • Assist with month end and year end processes, compiling statistical reports, statements and summaries, as required.
  • Complete hourly payroll month-end payroll duties (ex. journal entries), including inputting to JD Edwards system.
  • Provide the Human Resources department, monthly full time equivalent counts for CLC and CNT, as required.
  • Participates in the Orientation of new hires assisting Human Resources with the on-boarding process and provide new hires information regarding ax forms, direct deposit procedures and on-line registration.
  • Helping with assigning and registering barcodes onto ID Badges for new employees.
  • Provide the Human Resources department by creating and running custom reports and assisting with confidential inquiries.
  • Monthly Stats Canada reporting when required.
  • Adhere to Company and departmental policies and procedures.
  • Administering the timekeeping process for CLC time-off/time and attendance/overtime module in ADP.
  • Ongoing timekeeper training on the Workforce Now (“WFN”) Time and Attendance Module.
  • Various other administrative tasks and duties, as required.

QUALIFICATIONS AND EXPERIENCE

  • A relevant college diploma or university degree in business administration, finance, accounting, payroll or equivalent is preferred
  • A minimum of three (3) to five (5) years of demonstrated experience in payroll support
  • Membership with the National Payroll Institute and working towards or hold the Payroll Compliance Professional (PCP) certification are considered assets.
  • Demonstrated functional familiarity with ADP WFN payroll software systems, or comparable system, is required.
  • Demonstrated knowledge with Excel is required.
  • Must possess excellent accounting skills to ensure accuracy.
