What You Will do
Reporting to the Executive Director – People, you will be responsible for ensuring the efficient daily operations of the Executive Director -– People’s Office while providing administrative support to the Executive Director as well as effective support services for the Human Resources Department.
You will oversee the Executive Director - People’s calendar and ensure that meetings are scheduled with internal and external parties in a timely and efficient manner.
You will carry out special assignments as directed, coordinating the preparation of responses to internal and external communication requests.
You will also research information and prepare a variety of correspondence, reports and other material related to the work.
The incumbent will also be responsible for providing administrative support, guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies; and providing administrative support to the People and Culture Group as required.
As a Senior Administrative Assistant, you will have the opportunity to:

Act as the key representative of the Executive Director – People’s Office and the first point of contact for inquiries directed at the Executive Director.

Plan and co-ordinate the daily activities of the Executive Director – People’s Office.

Handle all incoming correspondence addressed to the Executive Director, initiating action to be taken.

Investigate and expedite various matters for the Executive Director – People, including queries from Executives, follow-ups, etc.
-
Track, co-ordinate and monitor departmental activities/issues, project and priorities, and provides updates.

Edit and proof-read all completed correspondence forwarded to the Executive Director’s attention and/or signature for the TTC, legal counsel, external agencies, customers, etc.

Prepare and maintain various documents, reports, analyses and recommendations for the Executive Director – People’s Office.

Handle requests for information in the absence of the Executive Director – People where appropriate or directs to appropriate areas within the Department/TTC.

Compile and research pertinent background information on requested matters for use by the Executive Director and other personnel in the preparation of reports, letters, etc.

Co-ordinate the booking arrangements for meetings and ensures all relevant background material, equipment, etc. is available as requested.

Provide guidance and direction to departmental staff regarding TTC policies, protocol and departmental practices and procedures.
In addition to the above you will demonstrate behaviours that support diversity, inclusion, and a respectful work and service environment that is free from discrimination and harassment. Helps to remove barriers and accommodate employees and customers (within their area of responsibility) in accordance with TTC’s commitments and obligations under the Ontario Human Rights Code (OHRC) and Related Orders, the Accessibility for Ontarians with Disabilities Act (AODA), and TTC’s policies.
What Qualifications Do You Bring?
- Must have completed a University Degree or College Diploma in a related discipline (Business/Office Administration) and several years of progressively more senior administrative work experience; or a combination of education, training and experience deemed to be equivalent.
- Sound knowledge of business administration concepts, principles and practices.
- Superior working knowledge of modern office practices, procedures and equipment.
- Detail-oriented with excellent organizational and time management skills as well as research skills.
- Demonstrated ability to effectively co-ordinate and direct departmental administrative/office support activities and provide advice, guidance and direction regarding departmental administrative procedures, protocol and policies.
- Sound judgement; effective interpersonal and oral/written communication skills; and superior customer service skills.
- Demonstrated ability to work independently and effectively handle several priorities at once.
- Proficient in the use of a PC and various software applications relevant to the work, including MS Word, Excel, PowerPoint and Access and databases.
- Knowledge of the Freedom of Information and Protection of Privacy legislation.
- Must have, or rapidly acquire, a comprehensive knowledge of the Ontario Human Rights Code and Related Orders, including disability accommodation and accessibility requirements pertaining to employees.
