Job Description

Medix College/North American Trade Schools is seeking an Office Administrator to join our Brampton Campus. In this dynamic role, you will have an immediate impact on people and embody our Core Values daily by providing day-to-day support to our students, graduates, and staff.

Position Summary:

The Administrative Assistant is responsible for providing secretarial, clerical, and administrative support in order to ensure services are provided in an effective and efficient manner. This role requires exceptional Customer Service skills since it is a position that is front facing with students and staff daily.

Essential Functions

  • Provide administrative support to all departments
  • Answer phone calls and take messages
  • Handle inquiries
  • Keep track of administrative supplies and stock when necessary
  • Enter, update, and maintain records within the college’s CRM
  • Write verification letters
  • Order books
  • Assist with collecting and submitting police checks and immunizations
  • Assist with orientation of new students
  • Take payments from students and visitors
  • Maintain open line of communication with all departments
  • Work professionally in a team environment
  • Other duties as requested by the Campus Director
  • Treat all staff and students equally with respect free from bias or discrimination
  • Create and maintain an organized lesson plan and work area
  • Manage conflict between students through behavioral observation and early intervention
  • Keep students and academic services up to date by introducing new content, news, and updates
  • Maintain communication with all departments
  • Conduct employer visits, field trips and guest speakers
  • Stay in touch with alumni to support Career Services
  • Work with students that may require accommodations
  • Continue professional development within the industry you are instructing
  • Other duties as requested by the Campus Director

Position Requirements:

  • Formal Education and Job-Related Experience:
  • This position requires a minimum formal education of a High School Diploma or GED
  • Proficiency with database applications and Microsoft Office
  • Comprehensive knowledge of Private Career Colleges preferred

Working Conditions and Physical Effort:

  • Manual Skills: Significant portions (more 50%) of daily assignments involve application of manual skills requiring motor coordination in combination with finger dexterity, e.g., typing, handwriting, etc.
  • Physical Effort: Some portions (0- 50%) of daily assignments involve prolonged standing, transporting material or equipment, or lifting, moving, or carrying heavy (over 30 pounds) materials for intermittent periods throughout the day
  • Physical Environment: Some portions (0-50%) of daily assignments involve exposure to dirt, odors, noise, or temperature / weather extremes. Working surfaces may be un-level, slippery, or unstable
  • Work Schedule: Work may require or vary between day, evening, holiday, or weekend assignments. Schedule varies according to business demands and needs
  • Safety: Responsible for adhering to all safety and anti-harassment policies and procedures of the Career College Group
