The Position
The Facilities Coordinator will report to the Program Manager, Centers. This is a full-time, permanent position based out of our Support Office. This role is responsible for ensuring the safe, efficient, and consistent operation of AdaptAbilities’ centers. This role supports center maintenance, safety, renovations, procurement logistics, and the coordination of vendor work. The Facilities Coordinator plays a vital part in upholding AdaptAbilities’ facility standards and supporting programs by maintaining environments that are safe, welcoming, and aligned with the organization’s mission to support individuals with disabilities. The conscientious Facilities Coordinator will act with integrity, be open to growth, live our purpose, cultivate teamwork, and put forth an extraordinary effort to empower people with special needs and their families to grow, succeed, and belong.
Key Functions
- Conduct regular safety inspections, perform minor repairs, coordinate vendor services, and support emergency facility needs across all centers.
- Ensure adherence to organizational facility standards, participate in OH&S initiatives, and maintain cleanliness and safety compliance.
- Manage supply deliveries, in-person shopping, and inventory tracking; support procurement process improvements and equipment standardization.
- Coordinate furniture moves, center setups, and support small renovation projects and special events, including employee engagement activities.
- Perform light maintenance tasks, dispose of damaged items, and follow up on outstanding facility concerns with building management.
- Assist with additional tasks as required by the Program Manager or Executive Team.
Qualifications
- Minimum education requirement of a High School Diploma with a minimum of 6-8 years of related experience; or graduation from an appropriate post-secondary program with a Certificate or Diploma from a College / Technical Institute with 3-5 years related experience; or a University Degree with 2-3 years related experience in facilities coordination, building maintenance, or logistics.
- May consider equivalent combination of education and experience.
- Ability to safely lift and move heavy items (up to 50 lbs.).
- Strong problem-solving and time-management skills.
- Non-profit sector experience is an asset.
- Strong technical aptitude with experience in setting up and troubleshooting a variety of devices and systems.
- Good working knowledge of basic building systems and health & safety regulations.
- Valid Class 5 driver’s license with clear abstract as well as access to a reliable vehicle.
- Ability to work independently, travel between locations, and manage competing priorities.
- Clear police information check and intervention record check required.
