Portfolio Resource Coordinator
POSITION OVERVIEW:
Under the direction of the Branch Manager and the Client Service Managers, this critical position is responsible for resource coordination and strategic scheduling specific to Paladin's healthcare contracts. This position will work closely with Paladin’s Clients Service Managers to: proactively address resource needs, fill open shifts, and reduce overtime through strategic initiatives while also supporting our Security Guards with employee requests in an expedited and professional fashion.
This position is located in our Halifax, Nova Scotia office.
Job Functions:
- Coordinate with the Client Service Manager to ensure staffing needs are met and proactively addressed
- Managing schedules in Paladin's scheduling software, such as: filling cancellations and openings, ensuring accurate and timely scheduling, billing and payroll, and ensuring Guards are aware of their ongoing schedule
- Strategically identify open shifts to ensure complete schedules to adhere to our contractual obligations
- Facilitate deployment of newly hired Security Guards
- Support and process employee request submissions such as vacation requests and Payroll adjustments
- Additional administrative tasks, such as ensuring billing accuracy and compliances
- Ongoing knowledge development of Paladin’s contractual obligations for the Healthcare portfolio. This will include site visits, ongoing training, and a close working relationship with the management group
- Work within a dynamic team environment with multiple operational stakeholders including Site Supervisors, Security Guards, Management, and our Operations Centre
Requirements:
- Proven ability to build and maintain strong working relationships both internally and externally
- Strong leadership, organization and facilitation skills
- Strategic Thinking
- Excellent communication skills both written and verbal
- Strong customer service and multi-tasking skills
- Creative ability to foster new and innovative ways to perform and succeed
- Ability to meet strict deadlines and flexibility in time allocation
- Proficiency in Computer Usage, with an ability to learn Paladin’s WinTeam software
- Experience in scheduling, administration, and security supervision would be considered an asset
- Willingness to work flexible hours
