NCSY, a program of the Orthodox Union, connects with Jewish teens through innovative, cutting-edge social and recreational programs to develop a positive Jewish identity. NCSY inspires Jewish teens through informal Jewish education, retreats and summer programs. NCSY empowers teens through leadership development and guidance to become passionately committed leaders of the Jewish community and instruments for positive change and renewal.
The Orthodox Union (OU) is one of the largest Orthodox Jewish organizations in the United States. Founded in 1898, the OU supports a network of synagogues, youth programs, Jewish and Religious Zionist advocacy programs, programs for the disabled, localized religious study programs, and international units. The OU maintains a kosher certification service, whose circled U symbol, Ⓤ, is found on the labels of many kosher commercial and consumer food products.
Position Overview:
We are seeking a highly organized and proactive Executive Assistant & Fundraising Administrator to provide comprehensive administrative support to our CEO, COO, and leadership team. The ideal candidate will be detail-oriented, adept at managing multiple priorities, and passionate about supporting our mission to ensure the future of the Jewish people. This position requires in-office attendance 5 days a week.
Key Responsibilities:
Administrative Support:
- Manage the CEO's calendar, appointments, and travel arrangements.
- Prepare and distribute correspondence, memos, reports, and presentations.
- Maintain organizational files, records, and databases.
Communication and Coordination:
- Serve as a liaison between the leadership team, staff, and external stakeholders.
- Coordinate meetings, conferences, and special events, including logistics and follow-up.
Project Management:
- Assist in planning and executing organizational projects and initiatives.
- Track action items and deadlines, ensuring timely completion of tasks.
Office Management:
- Oversee office operations, including supply inventory and vendor relations.
- Support IT needs and troubleshoot basic technical issues as they arise.
Support to Board and Committees:
- Prepare meeting agendas, materials, and minutes for board and committee meetings.
- Assist in maintaining board records, member communications, and governance documentation.
Fundraising Administrative Support:
- Assist in preparing donor proposals, stewardship reports, and fundraising materials.
- Compile and format donor thank-you letters, and other correspondence.
- Support the preparation of documents and presentations for meetings with donors, partners, and stakeholders.
- Coordinate with the programming department to gather relevant data and impact stories for donor reporting.
Event Support:

Assist in preparing donor proposals, stewardship reports, and fundraising materials.

Compile and format donor thank-you letters, and other correspondence.

Support the preparation of documents and presentations for meetings with donors, partners, and stakeholders.

Coordinate with the programming department to gather relevant data and impact stories for donor reporting.
Day-to-Day Fundraising Team Support:
- Support the fundraising team with scheduling, meeting coordination, and internal communication.
- Help manage the department calendar, deadlines, and task tracking.
- Organize and maintain digital and physical filing systems for donor and event documentation.
- Respond to general inquiries and provide administrative assistance as needed.
Qualifications:
- Proven experience as an executive assistant or similar administrative role, preferably in a nonprofit Jewish organization.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills, with a professional and friendly demeanor.
- Proficiency in MS Office suite (Word, Excel, PowerPoint) and familiarity with office management tools.
- Commitment to the mission and values of NCSY Canada and the Jewish community.
Education and Experience:
- Bachelor’s degree or equivalent experience in business administration, nonprofit management, or a related field.
- Previous experience supporting senior-level executives is an asset.
