Job Description:
What will you work on?
This position will support the Corporate Secretary Office and manage all Board-related activities including administration of travel, meeting logistics and distribution of materials, as well as being responsible for a wide range of administrative support that enhances the efficiency of the Board Operations and Legal Team.
How will you create impact?
Event planning and management of Board and committee meetings
- Determine and secure meeting spaces
- Manage meetings’ logistical needs, including catering, meeting room set up and oversight of technology requirements
Travel Expense management of Board and committee meetings
- Manage travel logistics of Board and committee meetings for Directors as required
- Track and manage expense reports for Board-related meetings
Board liaison and communications
- Board and committee materials uploads onto Diligent for all meetings
- Manage the Diligent platform administration
- Coordinate Diligent access and training for Directors
Board Operations administrative support
- Oversee Board and committee meetings scheduling, including Board calendar management
- Assist with agenda and presentation preparation, ad-hoc reporting, preparation of templates, etc.
- Help manage documents, such as meeting materials, logistics and travel details
- Track attendance, minutes signing, director requests to ensure organization and efficiency in Board Operations
Legal Team administrative support
- Provide travel assistance, including flights and hotel bookings
- Provide administrative support to the IP team, including maintaining status log, analyzing daily, monthly reports and updating team and electronic databases accordingly in a timely manner
- Review incoming foreign and domestic mail and e-transmissions related to patents, trademarks, copyrights, and other types of intellectual property; update bibliographic data, docket deadlines, and forward relevant documents to assigned legal personnel
- Manage legalization of documents required for all global corporate, litigation and IP matters, which may include the management and request for translation of documents
- Legal and IP file management, including scanning, copying, saving documents in paper and electronic form and ensure dockets, internal databases, digital and physical records are accurate and up to date
What are your skills and experience?
- Previous experience working for senior executives in a corporate environment, including experience managing Board Operations at a publicly traded company
