Role Description:

This is a full-time on-site role located in Mississauga, ON for an Administrative Assistant at AMIL 360 Solutions. The Administrative Assistant will be responsible for providing administrative support, maintaining phone etiquette, effective communication, executive administrative assistance, and utilizing clerical skills in daily tasks.

Key Responsibilities:

  • Perform general administrative duties including filing, data entry, scheduling, and office supply management
  • Professionally answer and direct phone calls using excellent communication skills
  • Schedule meetings, manage team calendars, and coordinate appointments
  • Handle incoming and outgoing production orders, ensuring accuracy and timely processing
  • Support the production team in tracking jobs, managing timelines, and communicating with vendors when necessary
  • Collaborate with the sales team to process orders and support client needs
  • Assist the digital marketing team with coordination and administrative support as needed
  • Maintain well-organized filing systems and internal documentation
  • Use Google Suite (Docs, Sheets, Calendar, etc.) to manage documents and office workflows
  • Contribute to a positive, efficient, and team-driven office culture

Qualifications:

  • 1+ year of experience in an administrative or office support role (preferred)
  • Strong phone etiquette and communication skills
  • Excellent organizational and time-management abilities
  • Ability to manage deadlines and prioritize in a fast-paced environment
  • Experience with production coordination or order handling is an asset
  • A team-oriented mindset with a proactive attitude
  • Experience in a marketing or agency setting is a plus
  • Attention to detail and problem-solving skills
  • Experience with Microsoft Office suite
  • Strong proficiency in Google Suite
  • Ability to prioritize tasks and handle confidential information
  • Previous experience in a similar role is a plus
