Job summary
The Office Associate is responsible for conducting administrative and office work for the store. This role involves handling and protecting sensitive and confidential information on a daily basis.

Responsibilities:
- Perform advanced bookkeeping activities including accounts payable/accounts receivable, month-end and year-end in cooperation with accountant
- Audit and process refunds, voids, price overrides, special coupons, claims, rebates, adjustments and staff discounts for retail and Automotive Centre
- Reconcile internal billing system "flex" and other corporate statements, house accounts and maintain supporting documentation
- Prepare payroll and maintain accurate personnel records, including compensation and benefits
- Coordinate the recruitment, selection, orientation and onboarding of new employees (e.g. job postings, reviewing application forms and resumes, interviews, set up new employee on various systems etc.)
- Maintain accurate and comprehensive personnel records
- Assist with preparation of formal communications to employees
- Compile statistical reports concerning personnel-related data such as training completion, User ID's, access privileges, productivity report, turnover report, performance appraisals, benefits and absenteeism rates.
- Ensure compliance with various legislation including: Health and Safety, WSIB, CRA, EHT, TSSA, PCI, DriveON, environmental, ESA, Home Office reporting, and all applicable federal and provincial regulations, including the Pay Equity Act.
- Communicate and ensure compliance with company, store and department policies as well as health and safety programs and regulations.
- Assist in developing and implementing policies, programs and procedures related to Human Resources and training to align with store initiatives and objectives.
- Coordinate store staff training in collaboration with Store Management.
- Communicate relevant information from Canadian Tire Corporation's portal to the respective Store Management and Staff.
- Balance cash and prepare bank deposits and reconcile daily sales transactions.
- Prepare, sort and manage incoming and outgoing mail
- Assist with inventory control and IT systems
- Enter and maintain data in computer operating systems and run necessary reports
- Assist in performing backups and upgrades on front-end and back-end systems
- Ensure that all computer equipment, cash registers and cash management equipment are in proper working order and arrange for maintenance, repairs and system recovery when required
- Coordinate assigned incoming and outgoing reports and messages for the Dealer and Store Management
- Adjust data/inventory/pricing information on all systems
- Activate/deactivate and ensure promotional deals are on schedule
- Plan and manage daily, weekly, monthly office administration activities to meet objectives and time-lines
- Provide assistance and backup to cashiers and customer service representatives
- Foster a culture that values excellent customer service
Requirements / Skills
- Experience in an office role (Canadian Tire store office or similar preferred)
- Ability to sit for extended periods of time and handle physical demands, including standing/walking for 8 hours
- Results-oriented and team-oriented: Open to work in other areas of the store
- Proficient in office software systems, Microsoft Word and Excel, payroll systems (Dayforce, EasyPay), Point of Sale (POS) systems, scheduling systems (Time Well Scheduled) and bookkeeping principles and disciplines
- Effective written and oral communication skills
- Strong organizational skills and attention to detail
- Ability to find solutions to problems, adapt, prioritize and cope with challenging/new situations and make logical informed decisions
- Ability to work in fast-paced environment with competing priorities
- Ability to plan, organize, communicate and follow-up on activities and projects in collaboration with Store Management objectives
- Flexibility to work days, evening, weekends and holidays occasionally when required
- Approachable, cooperative team-player
- Ability to protect and respect privacy of sensitive personnel and company information
- Supervisory, leadership and/or managerial experience (asset)
- Experience in retail sales, execution and operations (asset)
