Position Summary Administrative Assistant, Centre for Quality + Design Your goal in this position is to provide comprehensive administrative support that enables efficient and effective operations for the Centre for Quality + Design. As the administrative cornerstone of the portfolio, you will be responsible for executing duties related to administrative oversight, financial administration, operational coordination and support. In this position, you have the accountability for visibly role-modeling the values of NYGH. You are a great relationship builder, highly organized, and able to succeed in a fast-paced environment. You possess excellent organizational, problem-solving, and communication skills and can work well independently. You are resourceful, adaptable, and demonstrate the ability to prioritize, multi-task, and effectively manage time and balance competing priorities. This position contributes to our academic mandate by advancing care through teaching and learning and transforming care through research and innovation.

On a practical level, you will 2. Centralized Administrative Operations for the Centre for Quality + Design 3. Financial Administration and Payroll 4. Support for Strategic Portfolio Initiatives

  • Administrative Support to the Director
  • Provide specialized administrative support, using judgment and initiative, to assist the Director in achieving portfolio and organizational objectives.
  • Manage the Director’s calendar, including scheduling, monitoring, and proactive planning of meetings.
  • Coordinate and plan meetings, including the preparation and documentation of agendas, minutes, work plans, and project charters.
  • Manage confidential information with sensitivity and professionalism.
  • Serve as the primary point of contact for the Centre, triaging multi-channel patient relations inquiries (phone, email, in-person) with excellent customer service across all channels.
  • Effectively manage and respond to information and document requests.
  • Support the coordination of portfolio-wide events, including Accreditation activities, Canadian Patient Safety Week, People-Centred Care Education Days and Patient Experience Partner Learning Forums.
  • Manage the purchase of office supplies and equipment and maintain office procedure manuals and filing systems.
  • Manage departmental payroll processing and report attendance.
  • Process and track financial information, including the management of expense reports and invoices, in accordance with established procedures.
  • Provide direct administrative support for the annual work plan of the Corporate Quality and Patient Safety Committee, including preparing materials and tracking action items.
  • Support the coordination of the Patient Experience Partner program.
  • Maintain and input data into spreadsheets and portals to support quality, patient experience and safety activities.
  • Develop reports and PowerPoint presentations as required.

Qualifications

  • Undergraduate degree preferred.
  • Secretarial Courses or a diploma/certificate in Office Administration.
  • At least three years of administrative experience.
  • At least three years of experience in a customer service role, preferably in a healthcare setting.
  • Extensive Outlook calendar management experience.
  • Expert knowledge of computer software and applications, including Microsoft Office Suite.
  • Working familiarity of generative AI tools like Microsoft Copilot an asset.
  • Accurate keyboarding, word processing, and minute-taking skills.
  • Knowledge of office and management principles.
  • Knowledge of People-Centred Care principles an asset.
  • Bilingualism in French/English, an asset
