Located in Barrie and under the general supervision of the Manager, the incumbent provides front line customer service, registers students, coordinates testing, and assists with financial processes to ensure the successful delivery of the Automotive Business School of Canada (ABSC) / Ontario Motor Vehicle Industry Council (OMVIC) Certification programs. This role is integral to the department's day to day and would require a bilingual candidate who is fluent in English and French. Specific duties include, but are not limited to:
- Acting as a frontline resource to provide information about the certification process and respond to enquiries from students, OMVIC, licensing bureau offices, and dealerships
- Registering students to the OMVIC certification course by ensuring correct / complete information is received and entered information into the Student Information System (Banner), reviewing citizenship documentation, and verifying method of payment prior to registration
- Preparing and distributing OMVIC certification course packages to students
- Coordinating the logistics of the OMVIC certification testing process which includes ensuring paperwork is provided to the appropriate testing offices, arranging access to the student testing portal, using a Scantron process to grade completed in-person tests, running final grade report for online test, entering final grades into the Student Information System (Banner), and responding to student enquiries
- Travelling to various off-campus testing locations to invigilate testing while ensuring secure test environments and compliance with test administration protocol are followed
- Preparing course completion documents and plaques for successful students and ensuring a timely delivery on a daily basis
- Assisting with financial processes (compiling and processing invoices, running reports, processing payments using a cashiering system (TouchNet), balancing daily receipts of registrations, and investigating / resolving discrepancies)
QUALIFICATIONS:
- Successfully completed a one-year postsecondary certificate in a relevant field of study
- Two years of experience in a fast-paced office environment providing front-line customer service
- Fluent written and verbal communication in both English and French
- Experience assisting with financial processes
- Computer skills and experience using the MS Office Suite (Word, Excel, and Outlook) and the Internet
- Experience working in a student information system (preferably Banner) and a cashiering system (preferably TouchNet) would be an asset
- Excellent interpersonal, communication (written and oral), and customer service skills
- Demonstrated problem solving and conflict resolution skills
- Demonstrated organizational and time management skills with the ability to prioritize and juggle multiple tasks effectively in a fast-paced deadline driven environment with constant interruptions
- Ability to work independently as well as part of a team
- Access to private reliable transportation with the ability to travel, as required, to invigilate testing at off campus testing sites
- Cultural awareness with the ability to work with a diverse client base
- Experience in a postsecondary educational institution preferably in a frontline customer service role, processing registrations would be an asset
