Unit/Project Description:

The Communities of Practice (CoP) initiative, led by the Department of Medicine at McMaster University, comprises eight groups of multidisciplinary physician and non-physician leaders. These groups are dedicated to tackling projects with the goal of making a global impact in the field of medicine.

Under the direction of physician and non-physician leaders, the Project Officer plays a pivotal role in ensuring the coordination of workplan and deliverables. The position is responsible for overseeing administrative and project needs for the Department of Medicine. This includes but is not limited to event management, communications and web-based tasks, as well as supporting recruitment of new members to each of the groups within the CoP, project management of work plans, development of presentation and briefing notes.

The nature of the internal projects and initiatives are not research based.

Job Summary:

Responsible for assisting with tasks related to identifying, planning and managing projects and initiatives which may have an international scope. Analyzes project and initiative requirements and works with others to determine the requirements, logistics, budgets, and allocations.

Purpose and Key Functions:

  • Design projects, studies, and questionnaires.
  • Analyze project requirements and work with various leaders to determine project logistics.
  • Develop and conduct surveys to gather and extract information from external agencies.
  • Develop and monitor project budgets and determine allocation of funds.
  • Utilize statistical software to process numerical and quantitative information.
  • Draft proposals for review.
  • Submit finalized proposals
  • Write articles for newsletters and promotional materials.
  • Write a variety of documentation including, but not limited to, reports, forms, emails, and general correspondence.
  • Update and maintain the department website ensuring the accuracy of online content.
  • Create graphic designs when preparing presentations.
  • Deliver presentations at meetings and seminars.
  • Provide advice and guidance to students and part-time staff regarding project specifications and protocols.
  • Provide support to senior staff when negotiating with national and international organizations in the development of projects.
  • Plan and coordinate a variety of events and activities.
  • Arrange, attend, and facilitate meetings with faculty, staff, and students.
  • Adhere to social and cultural protocols when meeting with international visitors.
  • Exchange technical and scientific information amongst colleagues.
  • Respond to and direct general inquiries via telephone, email, and in person.
  • Complete literature searches relevant to current research projects.
  • Collate and distribute mailings.
  • Remain current with the activities of the project team to ensure project deadlines are met.

Supervision:

  • Provide directions to others in how to carry out work tasks.
  • Ensure adherence to quality standards and procedures for short-term staff.

Requirements:

  • Bachelor’s degree in a relevant field of study
  • 3 years of relevant experience

  • Ability to prioritize tasks and manage multiple initiatives concurrently.
  • Demonstrate strong analytical, conceptual, and problem-solving skills.
  • Ability to perform and communicate in a highly professional and effective manner, in a rapidly changing environment.
  • Advanced knowledge of Microsoft suite of products (specifically Teams, Word, Power Point and Outlook, and intermediate knowledge of Excel).
  • Exercise a high degree of diplomacy and good judgment.
  • Communicate openly, honestly, and clearly.
  • Excellent written communication skills.
  • Enthusiasm about the position; displaying drive and energy.
  • Highly self-motivated, demonstrating initiative consistently.
  • Excellent time management and organizational skill set.
  • Highly detail-oriented with the ability to multi-task and manage time effectively.

Additional Information:

Previous experience in a healthcare environment would be an asset. This is a Hybrid position with two days per week of in-person work. There will be an occasional need to meetings and events outside of core work schedule.
