The opportunity:
This position is responsible for the management of AVP Administration payroll and employee records. The incumbent provides administrative support to AVP Managers and Assistant Managers for transfers, cessation, schedule changes, requests for unpaid leave, and all other payroll transactions.
He/she manages both bi-weekly and hourly payrolls. The incumbent in this position is fully knowledgeable in the use of the UM VIP Human Resources Information System, or comparable large HR / Payroll system, and can perform any of the departmental duties, including entry of hours.
The qualifications and experience we’re looking for:
- Completion of a formal training program in a related discipline is required.
- An undergraduate degree is preferred.
- Some formal training in the area of security, access control, and/or key systems would be an asset.
- Three years of directly related administrative experience is required.
- Experience with key systems, and key system hierarchies is required.
- Experience in developing, implementing, and evaluating administrative procedures is preferred.
- Advanced knowledge of VIP processing; participates in planning, implementation, and process development/refinement is preferred.
- Has a thorough understanding of the UNIFOR, AESES collective agreements, and EMAPS regulations, particularly regarding payroll administration and staff matters is preferred.
- Relational database management experience using Microsoft Access is an asset.
- Experience in creating and managing websites is an asset.
- Experience managing a centralized card access system is an asset.
- An acceptable equivalent combination of education and experience may be considered.
- Intermediate skill level in use of Microsoft Excel and Word is required.
- Accuracy and good written and verbal communication skills are required, particularly skills in dealing effectively with users having varying levels of technical understanding.
- Must have excellent organizational, problem-solving skills and attention to detail.
- Demonstrated initiative, common sense, creativity, diplomacy, and the ability to work independently using established policies and procedures are required.
- Must be able to understand the intent of, and follow the procedures identified in, the University Building Access Control Policy.
- Must have the ability to analyze data and prepare reports.
- Must be able to maintain confidentiality and manage information of a sensitive nature.
- Must be bendable.
- Project management experience is an asset.
- Advanced proficiency in the use of Microsoft Access is an asset.
- Demonstrated proficiency with using advanced features of relational databases, specifically Microsoft Access and Microsoft SQL including creation of new databases, use of macros and modules, managing linked tables, and import-export of data from various formats, is an asset.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
