All Saints' Anglican Church Westboro, Ottawa
Introduction
All Saints' Westboro is seeking a warm, capable, and highly organized Parish Administrator to support the daily operations of our vibrant parish community. As the welcoming face of the church office, the Parish Administrator plays a key role in ensuring the smooth coordination of parish life, offering vital support to the clergy, staff, volunteers, and wider community.
This is a part-time permanent position ideal for someone with strong communication skills, a commitment to confidentiality, and a heart for service in a church setting.
Key Responsibilities
- Office & Administrative Support
- Serve as the first point of contact for parishioners, staff, and the public.
- Manage emails, phone calls, mail, and office supplies.
- Provide administrative support to clergy and staff.
- Maintain records, archives, and parish databases (including Google Workspace and Microsoft Office).
- Liaise with ministry leaders and external partners (including First United Church).
- Coordinate police record checks and maintain diocesan statistical records.
- Worship & Pastoral Administration
- Prepare weekly Sunday bulletins, prayer lists, and duty schedules.
- Support communication for worship participants and staff.
- Attend and contribute to regular staff meetings.
- Coordinate materials and reports for the annual vestry meeting and diocesan returns.
- Facility & Event Coordination
- Maintain the parish bookings calendar in collaboration with First United.
- Respond to inquiries and coordinate room rentals with the facilities manager.
- Assist with logistics and materials for parish events and joint programming.
- Communications & Website
- Ensure the timely flow of parish communications.
- Support parish website updates in collaboration with the web designer.
- Assist with printed and electronic communications (e.g., posters, announcements).
- Food Bank Support
- Provide administrative assistance to the Westboro Region Food Bank located on-site.
- Other Duties
- Maintain office equipment and arrange service as needed.
- Identify materials for archiving and coordinate with Diocesan Archives.
- Complete other tasks as assigned by the Incumbent or Associate Incumbent.
Qualifications
- Proficiency in Microsoft Office, Google tools, and Zoom; familiarity with Mailchimp, Canva, Facebook, and other online tools is an asset.
- Ability to quickly learn and use platforms such as Box, JotForm, and Planning Center.
- Excellent communication, organizational, and interpersonal skills.
- Strong attention to detail and commitment to confidentiality.
- Background check and police record clearance required as a condition of employment.

- Reports to: Incumbent
- Hours: Monday to Friday 9:30 am to 2:30 pm, 25 hours/week
- Start Date: As soon as possible
- Compensation: $22–$25/hour based on experience
- Employment Type: Part-time, Permanent
- Eligibility: Must be legally entitled to work in Canada
