The salary range (effective July 1, 2024) for this position is:

Recruitment range: $72,242 - $79,650 starting salary determined by the PEA Collective Agreement.

Performance range: starting salary to max of $93,951 is available through annual performance increases.

Job Summary

Mandate:
The Institute for Integrated Energy Systems (IESVic) is a multi-disciplinary research centre whose mission is to chart feasible paths to sustainable energy systems. The centre is comprised of researchers representing a broad range of departments at the University of Victoria. IESVic is known for its vibrant culture with many alumni active in energy technology innovation, policy development, and sustainability initiatives.

Reporting to the Director (D), the Administrative Coordinator (AC) has an integral role in the administration of IESVic. The AC ensures the smooth day-to-day operations of a thriving interdisciplinary research centre and contributes to the strategic direction and implementation of centre programs and projects. The AC is actively involved in strategic and budget planning administration of the centre’s annual operating budget, research grants, contracts and partnership agreements, human resources, centre operations communications and event coordination. The AC directly supervises the centre's secretarial staff person and indirectly supervises grant funded administrative staff.

Job Requirements

This position requires a level of education, training, and experience equivalent to an undergraduate degree plus a minimum of 4 years of related operational, budget and financial administration, communications and events experience in an academic (or equivalent) environment. An equivalent combination of education, training, and experience may be considered.

Knowledge, skills, and abilities include:

  • Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment.
  • Excellent administrative and organizational skills with an ability to manage multiple projects.
  • Demonstrated supervisory experience
  • Experience working with various social media platforms and how each network can be optimally applied in different scenarios.
  • Ability to make decisions independently, prioritize and consistently meet deadlines.
  • Experience creating and managing complex accounting spreadsheet record keeping/reconciling and forward-budgeting.
  • Superior computer skills using Microsoft Office (Word and Excel) and university administrative systems (FAST, Cascade, Connect, FMIS, Outlook calendar)
  • An interest in energy systems and/or climate change solutions to contribute to the overall mission of IESVic
