Summary

The Customer Service & Main Reception Representative is the first point of contact for all visitors, clients, and staff. This role is essential in delivering exceptional customer service while ensuring the efficient operation of front desk and administrative functions. The ideal candidate will exhibit professionalism, organizational excellence, and a welcoming attitude, contributing positively to the company’s culture and operational effectiveness.

Responsibilities

  • Greet and assist walk-in visitors in a warm and professional manner.
  • Answering and directing incoming calls while managing a multi-line phone system
  • Respond to emails and general inquiries in a timely and professional manner.
  • Coordinate and support staff engagement initiatives such as monthly work anniversaries, employee events, internal newsletters (Emerald Edge), and podium surveys.
  • Manage incoming and outgoing mail, including operation of the postage machine.
  • Maintain key count logs and oversee key inventory.
  • Monitor and maintain inventory of office supplies; place orders as needed.
  • Receive payments and enter debit receipt batches into the Yardi system.
  • Maintain and share the company’s internal absence list and other announcements with all internal staff.
  • Arrange bookings for boardrooms.
  • Maintain the company calendar, ensuring all key events, holidays, and meetings are up to date.
  • Conduct monthly fire alarm testing and log results.
  • Support the opening and closing of the office daily.
  • Assist with statement reviews, filing, and general office documentation.
  • Create and update work orders in Yardi, as required.
  • Perform document shredding monthly
  • Ensure cleanliness and upkeep of communal areas (e.g., fridge cleaning schedule).

Requirements

  • Minimum 1–3 years of experience in reception, customer service, or administrative support.
  • Preferred Experience: Property Management and Maintenance experience along with general administration knowledge would be an asset.
  • A candidate with hand-on experience of using Podium or any similar software.

  • Financial awareness – Basic understanding of payments, ledger systems like Yardi.
