Facilities and Administrative Assistant

Our healthcare client is seeking a Facilities and Administrative Assistant to support a busy executive and ensure smooth day-to-day office operations. This dynamic role blends traditional executive support with hands-on facilities coordination — you'll manage office access, oversee furniture needs and setups, coordinate with vendors, and help maintain a workspace that supports productivity.

You’ll be responsible for scheduling, meeting preparation, document coordination, and general administrative support for a senior leader. At the same time, you’ll take ownership of practical office logistics, including onboarding workspace arrangements, monitoring supplies and equipment, and keeping operations running seamlessly.

Qualifications:

  • Undergraduate degree, diploma, or certificate in Business Administration, Office Administration, or an Executive Secretary program, or a combination of equivalent experience and education.
  • Minimum of three (3) years of experience, preferably in the healthcare setting.
  • Experience supporting executives along with facilities coordination experience
  • Proficiency at an advanced level with MS Office suite of programs, specifically, Teams, Outlook, Word, Excel and PowerPoint.
