Are you a highly organized, proactive, and experienced professional with a background in real estate? One of the top-producing, well-respected real estate agents in Calgary is seeking an exceptional Executive Assistant to support the daily operations of a fast-paced,

client-focused business.

About The Role As the Executive Assistant, you will play a vital role in ensuring the seamless management of administrative, transactional, and client service tasks. You will be the right hand to a leading agent, contributing to both back-end efficiency and front-end professionalism.

Compensation $55,000

Responsibilities

  • Provide high-level administrative support, including scheduling, calendar, email management, and correspondence
  • Manage real estate transactions from contract to close
  • Prepare essential documents, including comparative market analysis and contracts, ensuring accuracy and timelines
  • Proactively oversee the Associate Broker’s tasks, delegating as necessary and following up to completion
  • Prepare listing and marketing materials, coordinate showings, and liaise with photographers, stagers, and clients
  • Manage, maintain, and update CRM systems and client databases
  • Assist in organizing client events and community outreach initiatives
  • Act as the office quarterback, greeting visitors into the office and directing them to the appropriate team members, handle incoming calls, and provide support to the office manager when needed
  • Handle confidential information with discretion and professionalism
  • Act as a liaison between clients, lawyers, mortgage brokers, and other industry partners

Qualifications

  • Minimum 1 year of experience in the real estate industry(REALTOR or administrative support)
  • Strong knowledge of MLS, CREB systems, and real estate transaction contracts, and transaction management platforms
  • Exceptional organizational skills with a keen attention to detail
  • Ability to multitask, prioritize, and manage time effectively in a high-volume environment
  • Thrives in a dynamic, fast-paced environment
  • Embracing the ever-evolving nature of this role, remaining flexible and open to change
  • Professional communication skills—both written and verbal
  • Tech-savvy with proficiency in Google Workspace and CRM tools
  • A self-starter with a solution-oriented mindset
