The Fort McMurray Roman Catholic Separate School Division requires a full-time Office Coordinator at Elsie Yanik School. The Office Coordinator oversees the school’s administrative services including coordinating office procedures, records management, budget and financial administration, procurement of goods and services, as well as coordinate tasks performed by office support staff. It may include oversight of school generated funds and collection of fees.
Qualifications

Diploma in Business/Office Administration
-
At least three (3) years of recent administrative experience in customer orientated environment; direct school administrative experience preferred
-
Other equivalent combinations of directly related post-secondary education and directly related experience may be considered
-
Minimum of two (2) years of experience in supervisory capacity
-
Above average typing/data entry skills and above average English oral and written communication
-
Proficiency in Microsoft Office products of Word, Excel, Outlook, Publisher or equivalent at intermediate level, with preference given to those at advanced level
-
Intermediate level knowledge of financial accounting, including financial software program experience
-
Excellent customer service skills that establish, support and maintain effective positive relationships with students, staff, parents and the public
-
Ability to maintain confidentiality, prioritize effectively, manage time efficiently, be organized, while working in a fast paced, constantly changing environment within a school setting
-
Proficient with data management software applications with preference in experience with student/employee information
-
Able to work well independently and as part of a diverse team
-
Valid First Aid certificate will be considered an asset
Responsibilities and Duties
-
Assist with the administration of student records in the School Division Student Information System (SIS) and the Provincial Directory (PASI)
-
Ensure that daily attendance records are maintained for students and communicate with parents as required including completing Child Check
-
Assist Principal with absence recording of instructional staff and assist with coordinating coverage
-
Administer and maintain school financials and budget using efunds and other related software to collect fees, record revenues and expenses on the school budget and for purchases
-
Facilitate, assist and support all administrative and organizational needs of school such as parent/teacher interviews, open houses, awards and graduation
-
Fulfill all reception related duties that focus on positive customer relations with students, staff, parents and guests both in person and telephone inquiries
-
Create and deliver communication strategies that enhance and effectively maintain information flows between students/parents and school
-
Arrange appointment, meetings and co-ordinate school events calendar
-
Maintain office supplies
-
Process and distribute incoming and outgoing mail, packages and print center materials
-
Coordinate the provision of student transportation services with School Division, bus company and RMWB Transit including the sales of transit bus pass at the school
-
Co-ordinate transportation for field trips and other extra-curricular activities
-
Confirm bus routes and assigned students
-
Supervise and support students in office area
-
Answer inquiries from students, parents and the public and provide assistance as required
-
Provide assistance to students and staff in case of injury or other emergency situations
The successful candidate will be required to provide a Criminal Reference Check and a Vulnerable Sector Check. FMCSD will contact past and present employers for references. All FMCSD employees are expected to be computer literate; this includes fluency with e-mail, Internet and MS Office.
