Summary

This position is responsible for delivering customer service excellence which is measured by meeting or exceeding customer delivery expectations, managing effective inventories and by the timely and accurate completion of all documents and procedures required by the customer. The role will include working within the Industrial Parts team, as well as assisting with the new equipment Pumps and Mixers Inside Sales team. The work share is anticipated to be approximately 75%/25% Industrial Parts versus Pumps and Mixers.

Education, Skills, and Experience

  • Post-Secondary Education or equivalent Parts Experience.
  • Five or more years of experience in purchasing or customer service
  • Manufacturing or field experience an asset
  • Understanding of industry, including product knowledge, an asset.
  • Experience with the coordination of RFIs and RFQs.
  • Demonstrated negotiation, task management and customer service skills
  • Maintains composure in dealing with difficult situations; demonstrates positive customer service attitude.
  • Strong organization, communication, time management, and multi-tasking skills
  • Computer skills (Excel, Word, Project Scheduling software, Dynamics 365 Business Central)

Key Duties and Responsibilities

Industrial Parts Duties and Responsibilities

  • Responsible for the preparation of quotes, order entry, and order fulfillment processing.
  • Arranging cost-effective shipment methods for prompt deliveries.
  • Responsible for utilizing and managing inventory and allocation, including selection of supply, cycle counts and material handling (including use of cranes/forklifts).
  • Provides detailed, factual information to customer inquiries, with a high degree of customer satisfaction, including the ability to provide a pleasant experience to the customer.
  • Inside sales for field service including budgetary quotes.
  • Timely response to customer complaints with appropriate follow up, including escalation as required.
  • Conduct proactive outbound calls to customers
  • Manage demand for deliveries
  • Balance time between inbound and initiating outbound calls while maintaining customer service level requirements, including availability to customers.
  • Ensure that teamwork and professionalism are integral part of all activities.
  • Follows the standard operating procedures for department.
  • Preparing and coordinating reports, proposals, contract documents, addendums, and project correspondence.
  • Assists in the preparation of change orders and changes in scope.
  • Tracking invoices and assisting with invoicing and gathering of payment documents.
  • Assist with setting-up new vendors and subcontractors when required.
  • Maintain filing system for contract documents in accordance with procedures.
  • Work with the team with other departments.

Pump and Mixers Inside Sales Duties and Responsibilities

  • Assists in the selection and quotation of centrifugal and positive displacement pumps and mixers.
  • Regular proactive interaction with customers will be required, including providing pump sizing guidance, answering bid clarifications, and liaising with senior inside sales staff to provide responses to client engineering inquiries.
  • Responsible for order write up, submission to operations and responding to internal clarification requests.
  • Close jobs by responding to inquiries, verifying information, and entering into system (Accounting and CRM).
  • Coordinate with sub suppliers to ensure the selection and quotation of sub vendor items meets customer specifications.
  • Support outside Sales as needed to ensure complete customer satisfaction.
