Summary
As an Accounts Payable Specialist, you’ll work as part of a small, dynamic finance team responsible for managing the company’s payables. You’ll ensure that vendor invoices are entered, approved, and paid accurately and on time. You will help resolve discrepancies, support vendor relationships, and maintain accurate financial records within the Produce Pro ERP system. This role reports directly to the Finance Manager.
Responsibilities
- Manage Invoice Processing & Data Entry
- Manage high-volume vendor accounts and invoice processing.
- Match purchase orders, packing slips, and invoices to verify accuracy.
- Vouch and enter invoices into the Produce Pro ERP system.
- Collaborates with adjacent departments to streamline processes and recommends improvements to accounts payable policies and procedures.
- Payments & Reconciliations
- Weekly payment preparation via cheques, EFTs, and wire transfers.
- Ensure bills are paid in a timely and accurate manner.
- Maintain and reconcile vendor accounts, resolving discrepancies as needed.
- Ensure accurate and timely payments within prescribed terms.
- Reconcile statements and payment records.
- Vendor Communication & Issue Resolution
- Work with various departments to resolve invoices and PO mismatches.
- Communicate with vendors as needed, investigate and resolve discrepancies in billings and payments.
- Records Management & Administrative Support
- Maintain organized digital and physical accounts payable records.
- Analyzes accounts payable transactions to ensure compliance with internal controls and accounting policies.
- Maintaining accurate records of financial transactions.
- Support the Finance Manager with ad hoc reporting and administrative tasks as assigned.
- Vendor Relations
- Onboarding of new suppliers.
- Establish and maintain relationships with new and existing vendors.
Skills & Requirements
- +3 years of Accounts Payable experience
- Attention to Detail: Ensuring accuracy in financial transactions.
- Organizational Skills: Managing multiple tasks and deadlines efficiently.
- Communication Skills: Interacting with vendors and internal departments.
Preferred
- A diploma or degree in accounting, finance, or a related field.
- Experience with accounting or ERP systems (Produce Pro is a plus).
- Prior experience in the food service, distribution, or manufacturing industries.
