About the role

The College of Physicians and Surgeons of Ontario (CPSO) is the province’s medical regulator. We have a mission to serve the public interest in Ontario’s health system, ensuring patients receive quality care from fully trained, highly competent, deeply compassionate, and ethically-guided doctors.

The Quality Programs Department is inviting applications for the role of Quality Coordinator. The Quality Coordinator is responsible for implementing and coordinating Quality program cases in the Quality Assurance and Quality Improvement program areas. The Quality Coordinator is a critical part of the team, bringing excellent communication, organizational and analytical skills, able to adapt to change and thrive in a fast-paced, team-oriented work environment.

Responsibilities:

  • Implements all aspects of physician-specific cases within Quality Programs, which may include but is not limited to: coordinating peer assessments, facilitating process steps for physicians completing related Quality Improvement requirements.

  • Works to achieve annual program goals established within the division, which includes managing a high volume of physician cases, coordinating the distribution of questionnaires and related materials, phone and written correspondence to physicians, and making eligibility, exemption and deferral decisions based on established guidelines

  • Ensure a high standard of work to ensure that key Quality Division objectives and Committee decisions are implemented in a timely and effective manner and in compliance with the relevant sections of the RHPA, the Code and pertinent regulations

  • Liaises with QA assessors, QI Coaches, and registrants for the purpose of coordinating all aspects of quality program cases, distributing materials; responding to inquiries about program requirements, assessment/review procedures, and providing information about new procedures

  • Communicates routinely with physicians undergoing assessment/review, and their legal counsel to respond to inquiries, resolve disagreements, daily problem-solving activities and facilitating physician agreements, when necessary

  • Communicates with medical leadership at external organizations for the purposes of program engagement and addressing program-related inquiries

  • Exercises diligence in maintaining up-to-date case documentation and relevant data inputs

  • Prepares decision letters and ad hoc correspondence for Committee member or program Director’s signature

  • Actively contributes to on-going quality division activities and continuous improvement initiatives to enhance program processes, team culture, and procedures

  • Works collaboratively with a diverse group of stakeholders

  • Other duties as assigned by supervisor or Director, based on program needs

Qualifications:

  • Post-Secondary education required.

  • 1-2 years experience within a complex regulatory environment preferred

  • A member of a regulated health profession in good standing is preferred

  • Excellent verbal and written communication skills and business acumen is required

  • Awareness and proficiency in the programs within the Quality Management Division preferred (i.e. Peer and QI program suite)

  • Previous experience in a clinical environment, or knowledge of medical terminology preferred

  • Excellent skills in analyzing problems and identifying creative solutions

  • Proven organizational skills with demonstrated planning experience and ability to achieve objectives

  • Proven track record of excellent communication skills, reliability, and effective team collaboration is essential, particularly written communications skills for sensitive correspondence

  • Experience in adult education an asset

  • Proficiency in Microsoft 365 and Enterprise systems

  • Demonstrated ability to establish priorities and exercise good judgement

  • Flexible attitude; able to adapt to change and thrive in a fast-paced, team-oriented work environment

  • Knowledge of Lean Principles

  • An understanding of equity, diversity and inclusion principles and their applications
