About The Role:

The Site Administrative Assistant provides administrative and clerical support to the site as necessary. The incumbent helps with day-to-day tasks and streamlines efficiencies of the team to ensure the team can focus elsewhere. This includes booking meetings, arranging catering, booking travel, reconciling expense reports, receiving goods and compiling reports, and working with vendors to resolve any site requirements. The incumbent works closely with other departments, and is often the first point of contact on the site.This is a part time, hourly position with benefits. The position will work 24 hours per week, Monday to Friday.

As a Site Administrative Assistant at Graham, you will:

  • Be the first point of contact for site. Ability to direct visitors to where they need to go
  • Coordination of office/wash car supplies inclusive of stationary, pens, coffee, creamer, cutlery, paper towel, toilet paper, hand sanitizer etc. This includes occasional supply runs. Ordering materials from the whiteboard. Coordination with GF's/PC's on more technical items
  • Coordination of site lunches/events
  • Ordering breakfast, refreshments, and lunches for specific meetings and events
  • Ordering & returns of IT equipment
  • Manage the DCDH vacation calendar & shift calendar
  • Coordination of travel. This could include booking flights/hotels, tracking RAV usage and allocating spaces to work
  • Tracking of site equipment with input from the GF's
  • Good receipts. Material receiving to be done in the field by GF's/PC's
  • Monthly Labour Reporting for client report
  • One off orientations
  • General scanning and filing
  • Meeting minutes & management of the meeting room calendar
  • Book meetings for Senior Management as required
  • Updates to & distribution of communication matrix & org chart
  • Update Subcontractor Management Tracking Sheet
  • Update of the LPS Dashboard information.
  • Manage training tracker and book training as required

Qual****ifications/ Experience:

  • A high school diploma is required
  • 1-3 years of relevant experience
  • Good typing, filing, and general reception skills
  • Strong organizational and time-management skills
  • Ability to prioritize tasks well.Strong customer service skills
  • Awareness of health and safety standards
  • Positive upbeat attitude
  • Strong written and verbal communication skills
  • Strong understanding of how to communicate or deal with different levels in the organization up to the executive level, and communicate positively and effectively with other administrative staff throughout the organization
  • Ability to create presentations for the site team
  • Proficiency with MS Office Suite, SAP, Toolbox, Skype for business, meeting room set up and technology, PowerPoint, and basic IT troubleshooting
