Job Summary

This research and facilitation position provides general administrative, financial, and research support for clinical trials and other investigator-initiated studies conducted within the Division of Gastroenterology at BC Children’s Hospital, with a focus on Inflammatory Bowel Disease. Responsibilities include supporting the overall operations of the research program, coordinating research projects, and contributing to scholarly activities such as literature reviews, manuscript development, and data management.

Organizational Status

The successful candidate will report directly to Dr. Kevan Jacobson, members of the research group, and the division Research Coordinator. They will work in a strongly collaborative and collegial fashion with cross-functional project team members to meet program goals and objectives. This position will be in person at the Division of Gastroenterology, BC Children’s Hospital, with limited opportunities for remote work.

Major responsibilities:

  • Coordinates all activities related to the research project and knowledge translation of the products of this research.
  • Works collaboratively with the research team and partners to facilitate implementation of project to support meeting the objectives of the research project.
  • Leads data collection activities, extracts and conducts preliminary analyses.
  • Ensures that data is appropriately archived and that multiple data sets are appropriately configured to ensure they can be merged.
  • Assists in the preparation, submission and tracking of ethics applications.
  • Ensures ethical standards of research are followed, monitored and maintained.
  • Oversees literature review processes performed by research assistants.
  • Collaborates with pharmaceutical sponsors and healthcare staff and interacts with study participants and families to conduct clinical trials
  • Consents participants for various research studies and responds to their inquiries related to on-going research.
  • Monitors workflow and data collection to ensure high quality data collection, tracking and management.
  • Organizes and leads orientation and training sessions for research assistants in relation to data collection, data management, data analysis, and preparation of reports.
  • Supervises and responsible for all work completed by the research assistants.
  • Assists in preparation of research grants, manuscripts, presentations, posters, reports and newsletters.
  • Coordinates finances related to research projects – e.g. creates budgets and expenses spreadsheets, submits invoices and works closely with the financial staff at BCCH.
  • Designs and facilitates processes for communication and collaboration to support the research team, research assistants and study sites. This would involve both email and in-person communication with the GI team to screen patients for future studies and to ensure a proper workflow for recruitment.
  • Assists with drafting job descriptions, posting positions, and screening applicants.
  • Performing light processing and shipping of biospecimens
  • Performing other related duties as required.

It is expected that the candidate will require additional training for some aspects of the work (such as ethics preparation) and appropriate training will be provided as needed.

Consequence of Error/Judgement

The successful candidate should carefully report all experimental results for analysis by the principal investigator. All works are subject for review by Dr. Kevan Jacobson and colleagues. Incorrect analysis would negatively affect the study and the reputation of the research group. This position requires a high degree of confidentiality, diplomacy, tact and accuracy.

Supervision Received

This position will report directly to Dr. Kevan Jacobson and colleagues, and will work in a strongly collaborative and collegial fashion with cross-functional project team members to meet program goals and objectives. The research coordinator will work independently in performing defined duties from broad objectives and will alert the principal investigators to any unusual situations and problems as they arise or are anticipated. The principal investigators and a senior research coordinator will provide extensive training and ongoing consultation to support this position as needed.

Supervision Given

The individual will oversee the work of two or more research staff including research assistants, students and volunteers.

Minimum Qualifications

  • Completion of a relevant technical program or a university degree in a relevant discipline.
  • Additional training in a related field and a minimum three years of related experience or an equivalent combination of education and experience.
  • Minimum of one year of experience working with clinical trials
  • Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.
  • Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.

Preferred Qualifications

  • Ability to effectively use MS Word, Excel, PowerPoint and Access.
  • Familiarity with UBC financial policies and UBC Workday system an asset. Experience with REDCap and UBC RISe system for research ethics protocols an asset.
  • Appropriate knowledge of UBC admin procedures preferred.
  • High degree of computer literacy with ability to use word processing, spreadsheet, internet and electronic mail applications at an intermediate level.
  • Ability to take and transcribe accurate meeting minutes and follow up on action items with ease.
  • Effective oral and written communication, interpersonal, and multi-tasking skills. Ability to communicate effectively, both verbally and in writing.
  • Ability to work both independently and within a team environment.
  • Attentive to detail, with the ability to work quickly and accurately.
  • Ability to exercise tact and discretion when handling sensitive and/or confidential matters.
