About the role

Job Title: Property Administrator

Reports To: Sr. Property Management Coordinator

Department: Property Management

Position Summary The Property Administrator will provide administrative support to the Property Management and Operations Team. The Property Administrator will assist the Sr. Property Management Coordinator as directed.

Responsibilities

  • Responsible for all contract administration: create all tender packages and contracts for the Property Management Department;
  • Maintain all special event requests;
  • Assist in collection and entry of sales data from tenants;
  • Assist in purchase order creation;
  • Responsible for assisting in all vendor and property set-up requests for Yardi Voyager;
  • Responsible for Property Management direct line and call log;
  • Frequent contact with other departments and outside parties such as tenants, vendors and consultants. Sometimes required to deal with unclear or imprecise requests for information;
  • Communicate with various internal departments to coordinate projects and/or activities and liaise with external parties in administrative matters;
  • Prepare and compose all correspondence, both internal and external;
  • Responsible for establishing and maintaining a file and records management system including both and hard and electronic files.

Academic/Professional Requirements

  • College or High School Diploma in a related field.

Required Skills/Experience

  • 3-5 years office/clerical experience;
  • Able to prioritize workload;
  • Excellent oral and written communication skills and must possess the ability to effectively communicate across all levels of management within the company as well as outside the organization;
  • Must be able to work in a fast paced and changing environment;
  • Must be highly professional, with the ability to work with a wide range of individuals and subject matter experts required;
  • Must be quality focused with excellent oral and written communication skills as well as excellent interpersonal skills;
  • Advanced in Excel, Outlook and other MS Office software;
  • Must be able to reach all deadlines in an environment that does not provide frequent extensions;
  • Must be organized with the ability to work well under pressure, multi task and prioritize tasks.
